General Litigation Secretary Responsibilities:
- Perform secretarial work of a complex nature for assigned attorneys
- Prepare routine correspondence, memoranda, and legal documents
- Answer telephone, take messages, and provide and receive information concerning matters related to the legal work handled by the assigned attorneys
- Handle conflicts
- Maintain attorney calendar
- Interact with vendors and vendor invoice processing (calls, processing invoices, etc) for all case related expenses (filing fees, local counsel invoices, etc)
- Process Attorney expense reimbursements
- Prepare and send faxes, mail, FedEx packages, and other documents
- Word processing (edits and formatting)
- Maintain control of files for matters that are in progress and follow up to ensure that court ordered actions are competed
- Make arrangements for meetings, conferences, and travel
- Enter time into the time and billing system
- Periodically request pre-bills and statements for billing purposes and prepare statements for signatures
- Provide assistance to legal and non-legal personnel, as requested
- When applicable, serve as a Notary Public
- Other general clerical tasks and duties assigned
Additional Responsibilities:
- CLE Tracking and management
- Collating or Bates stamping documents
- Client’s database administration including data entry and document loading, etc (uploading hard copy docs, status reports, etc)
- Bar and court admissions applications and renewals
- All tasks related to conflicts checking, unless it is a client managed by FS admin staff
- Maintain a listing of passwords and info needed for e-filing, research sites, etc.
- Preparing transmittal letters – draft cover letters for enclosures
- E-Filing/Filing simple motions
- Pulling dockets
- Set up shells for pleadings and discovery (caption, opening paragraph, signature block, certificate of service)
- Draft deposition notices, notices of appearance, notices of hearing
- Calendaring/docketing including forwarding calendar dates to FSCalendar with carbon copy to assigned attorneys and paralegal, unless dates need to be calculated.
- Other clerical financial services practice duties may be required
Position Requirements and Desired Skills:
- High School Diploma; Bachelor’s degree, preferred
- Prior experience as a Legal Secretary, required
- Prior experience in Financial Services Litigation, preferred
- Advanced computer skills, including knowledge of MS Word, Outlook, Excel, as well as specific law firm programs
- Ability to learn and adapt to new software programs
- Excellent oral and written communication skills
- Accuracy, attention to detail, and good organizational skills
- Ability to work under pressure in a fast-paced environment
- Strong time-management skills and ability to multi-task
- Strong client service focus and ability to work effectively in a team environment
- Self-motivation and ability to work with minimal supervision
- Various physical activity may be required
