Purpose: (General description and summary)

The Medical Team Administrator (MTA) is a member of New Narrative’s Medical Department, working to support the medical personnel at New Narrative, including the Licensed Medical Providers (LMPs) and RN staff based out of our Mill Park and Spring Creek Centers. This includes schedule maintenance to ensure the LMP schedules remain full and participants are scheduled at the correct frequency, maintenance of the LMP waitlist and new intakes, and coordination with pharmacies and hospitals in order to support the coordination of care. Auxiliary duties include providing needed communications and paperwork to staff and general clerical duties such as copying and correspondence to New Narrative employees as well as outside stakeholders.


Accountabilities:

  • Promotes growth and goodwill for the company through daily personal contact with individuals, vendors, and other outside individuals and organizations.
  • Meets immediate participant needs such as distributing medication and supporting in the administration of observed UDSs
  • Coordinates LMP schedule; tracks prescriber schedule, amends as necessary on computer, places reminder calls receive and carries out instructions from LMP regarding scheduling, orders, medication changes, faxing etc. Makes reminder calls and documents.
  • Maintains the LMP waitlist, including coordinating with MHCs in order to ensure all required documentation is in
  • Answers incoming phone calls and directs to the appropriate person. Documents calls.
  • Processes new or changed prescriptions: faxes prescriptions to pharmacy and communicates as needed with pharmacy and LMPs to make sure orders are accurately filled.
  • Maintains logs documenting medications received and distributed; ensures that medication shipments are logged in and properly stored/refrigerated.
  • May attend weekly clinical meeting and interfaces with clinical team to ensure coordinated service delivery; attends clinical trainings as needed.
  • Support the “meds only” caseload, including completing annual enrollment documentation
  • Provide support to clinical leadership in developing efficiencies in workflows and processes, both related to medical team and the clinical teams
  • Accepts other duties as assigned.

Education/Certificates/Licenses/Registration:

Bachelor's degree in Behavioral Science Field from four-year College or university; or three years related experience and/or training; or equivalent combination of education and experience. Qualified Mental Health Associate preferred.


Experience/Qualifications:

Individual must be familiar with basic office procedures and experience/education in field of mental health is preferred. Ability to attend to multiple tasks in a busy office environment desired. Ability to establish and maintain boundaries between clerical and clinical areas.
