Job Summary
The Medical Office Assistant Apprenticeship is a program designed to train individuals who want to begin a career in patient care as a Medical Office Assistant. This position includes a combination of classroom instruction and on-the-job clinical shift training to prepare the apprentice for the new role as a Certified Medical Office Assistant. Upon successful completion of the program the apprentice will have the opportunity to transition to a full time position within one of the clinical departments working under general supervision of physician and/or nurse to provide clinical support to physicians and nurses in delivery of patient clinical care and administrative support.
Job Duties
All of the following functions are to be performed under the supervision of a preceptor, an experienced medical office assistant or nurse until competency is validated:
Completes all mandatory training, courses and skills validation.
Demonstrates competencies in skills outlined in curriculum.
Demonstrates competencies in psychomotor skills outlined in curriculum.
Takes, records, and reports patient vital signs using medical equipment; performs procedures of low complexity such as visual acuity, development and/or musculoskeletal screening.
Escorts or transports patients to exam rooms or treatment rooms.
Documents patient data into medical record, may record historical patient information into medical record.
Assists in care of patients by preparing exam rooms for patient care, facilitating use of diagnostic equipment, and ensuring availability of needed patient information, such as reports of diagnostic exams and medical records.
Responds to patient questions regarding their care, seeking assistance from the nurse or physician as appropriate.
Performs variety of administrative/clerical duties, such as receiving and scheduling patient appointments, distributing mail, and preparing reports and correspondence as directed.
Inspects equipment and facilities visually and physically to ensure patient safety and proper functioning, performs appropriate quality controls per policy.
Ensures appropriate patient consent and authorization forms are obtained for research and/or medical treatment.
Maintains current customer service, clinical, and technical skills by attending training programs and annual competency skills lab and ensure compliance with departmental policies and procedures.
Maintains adequate stock of supplies as required for work area.
Duties performed may include one or more of the following core functions: (a) Directly interacting with or caring for patients; (b) Directly interacting with or caring for human-subjects research participants; (c) Regularly maintaining, modifying, releasing or similarly affecting patient records (including patient financial records); or (d) Regularly maintaining, modifying, releasing or similarly affecting human-subjects research records.
Performs other duties as assigned.
Experience and Education
High school diploma or equivalent.
Must be 18 years of age.
Knowledge, Skills, & Abilities
Work requires good interpersonal skills and verbal and written communication skills.
Work requires contact with physicians, residents, fellows, allied health personnel, and other medical and non-medical office personnel to coordinate necessary information and to provide optimal level of patient care.
Work requires telephone skills when in contact with patients, referring physicians, and pharmaceutical representatives outside of university, vendors, and third-party payees.
Work requires ability to stand for long periods of time and lift, push, and/or pull up to 50 lbs
Work requires ability to read, write, and perform mathematical calculations.
Work requires ability to make occasional minor decisions.
Compliance with the COVID-19 vaccine mandate enforced by the Centers for Medicare and Medicaid (CMS) is a requirement for this position. Federal law requires individuals holding this position to be fully vaccinated or have an approved exemption for certain medical, disability, or religious reasons.
