Qualifications: Proficient in computer technology. Positive, motivated personality. Customer service oriented. Good verbal and written communication skills. Good attendance. Attention to detail, ability to prioritize needed. Performs all front office procedures and miscellaneous duties as assigned to ensure an efficient and smooth operation of the practice while maintaining courtesy and professionalism at all times with providers, managers, leads, co-workers and patients. Ability to document and account for payments.

· Knowledge: Working knowledge of health care environment and patient processing with computerized scheduling software.

· Machine, Equipment, Work Aides: Computer, printer, copier, telephone and fax

· Work Environment: Subject to a busy office requiring ability to prioritize and organize. Some overtime may be required

· HIPAA: Confidentiality, maintain patient, team, and employer confidentiality. Complies with all HIPAA regulations

Job responsibilities:

· Must be present at start time and prepared to receive incoming phone calls

· Answers telephones courteously and in a timely manner; within three rings

· Screen incoming calls as instructed/ direct to appropriate departments as needed

o Notify Lead/Practice Manager of any customer service concerns and allow them to take over the calls as needed

· Take accurate and complete messages and send tasks appropriately within the electronic medical record

· Provide information in accordance with policies and procedures of the Pediatric Associates, Inc. (PAI)

· Direct emergency calls within the Emergency Call Guidelines

· Call pharmacy with prescription information per provider’s written orders per Dispensing Medical or Prescription Advice for Clinical and Non-Clinical Staff Policy

· Schedule appropriately according to guidelines

o If there are questions, discuss with Front Office Lead or Practice Manager

o Use appropriate appointment types and time frames

o Appropriately document type of appointment, any special needs, duration of complaint, age, type of insurance and your initials on all appointments as they are scheduled

· Make sure proper accommodations are met for children with special needs

· Greet the patients and families as they enter the lobby

o Focus attention on the person who is at your window

· Determine individual needs and direct them accordingly

o Any patient complaints should be brought to the attention of the Front Office Lead and/or Practice Manager

· Check-in patient(s) appropriately, use EMR system to change status so clinical team is aware they are ready to be roomed

o Read insurance cards, scan card, contact eligibility/billing with changes

· Accurately update the system with any new demographic information given at the registration window or phone

· Reinforce financial policies and procedures with patients as needed

o Notify Practice Manager of any concerns or discrepancies for a final decision on how to handle these matters

o Be knowledgeable about where to find account information (balances due) in EMR and to accurately relay balance information to families

o Collect patient and family due balances/copays as needed and/or note any information given by parent.

o Coordinate with billing department on all past due accounts- collections/dismissed

o Contact Practice Manager for final decisions

· Make next appointment in appropriate time frame using scheduling guidelines

· Have a working knowledge of how to set Guarantors, Foster Parent information, Custody, etc. and the legal documentation for any foster parent or custody issues

· Assist patients with immediate need in filling out forms, printing shot records, Return to Work/School forms

· Verify parent/parent identity when signing out controlled prescriptions

· Process post-dated checks, payments made in office

· Keep waiting area presentable

· Check faxes, open mail, empty courier containers and doctor in-boxes when clerk is unavailable

· Send out Patient Portal after visit information

· Opening and Closing responsibilities

· Is a positive example of PAI in all public, social media, and office interactions.

· Identify risks and concerns and report to Practice Manager

· Performs all other duties as assigned

Competencies:

· Knowledge of electronic medical record and practice management systems (EMR)

· Working knowledge of medical terminology used in conjunction with front office duties

· Ability to perform work accurately and thoroughly

· Ability to communicate effectively, both verbally and in writing; maintaining good rapport with team members and customers (both internal and external)

· Proficient ability to use a computer

· Comply with all HIPAA regulations

· Customer Service oriented; friendly, cheerful and helpful to patients and others while following office policies and procedures

· Detail oriented; ability to pay attention to the minute details of a project or task

· Flexible; ability to adapt easily to changing conditions and work responsibilities

· Displays a positive attitude

· Works as part of a team and collaborates with co-workers

· Ability to complete assigned tasks under stressful situations

Education and Experience:

· High school diploma or equivalent required

· Medical office experience preferred

· Experience with electronic medical record preferred

Job Types: Full-time, Part-time

Pay: $16.00 - $17.00 per hour
