Medical Staff Scheduler - Los Angeles, CA Job at Planned Parenthood
Planned Parenthood Los Angeles is seeking an experienced
Medical Staff Scheduler with excellent communication and customer service skills to work in our Downtown Los Angeles Headquarters.
Plan, organize, and direct activities of licensed staff providers staffing to meet the clinical staffing needs of all health centers. Work closely with Charge Clinicians, Center Managers and Supervisors, and Call Center Manager to determine provider staffing needs. Develop, coordinate, and communicate the scheduling of clinical staff ensuring adequate physician, clinician, anesthesia, and nursing coverage for all individual health centers based on standard and approved staffing requirements.

Our Ideal Candidate will have the following qualifications:
- Associate’s Degree, Bachelor’s Degree or Clinical Licensure preferred
- Familiar with basic medical terminology
- Previous experience with scheduling software/systems
- Must be available to be on a rotating schedule for On-Call shifts, including evenings, early mornings, and weekends
- Experience in clinical setting desired
- Experience managing multiple projects
- Experience in conducting workshops and/or training sessions
- Experience with helpdesk ticketing systems
- MS Office and Outlook proficient; intermediate level Microsoft Excel Skills
- Ability and willingness to travel within Los Angeles County if needed
Schedule planning and development:
- Initiate recurring meetings with Charge Clinicians, Patient Services Directors, Call Center Manager, and Medical Director, to assess provider coverage needs and changes
- Establish procedures and rules for provider scheduling at all health centers and other staffing needs
- Establish baselines for new scheduling models to measure their success
- Work with Training to develop advanced skills schedules
- Provide assistance for workshops and staff meetings
- Conduct system reviews and/or audits for quality improvement purposes
- Participate in the regular evaluation of the scheduling process
- Attend scheduling trainings/conferences
- Maintain the role of super user and subject-matter expert for all scheduling systems
Manages the Scheduling Process:
- Prepare and distribute staffing plans and work schedules for all clinical staff using standardized procedures
- Participate in recurring meetings with leadership involved with staffing and recruitment to review scheduling practices, staffing needs, and any projected staffing issue
- Maintain scheduling reports, databases and software consistently up-to-date
- Interact with direct supervisor, Charge Clinicians, Patient Services Directors, and Call Center Manager as required to facilitate the scheduling process and to communicate the process to each Clinician, Center Manager, and Health Center Supervisor
- Work in conjunction with Clinicians and Scheduling Coordinator to create, modify, and fill shifts at all health centers
- Maintain proactive and consistent communication regarding staffing updates and ETO requests
- Consistently meet all deadlines related to assigned responsibilities and comply with approved procedures
- Develop baseline data and produce monthly metrics to validate staffing patterns
- Use forecasting systems to project staffing needs
- Assist in development of new hire and advanced skill training
- Accept accountability and provide leadership and motivation to the team
- Support Scheduling Coordinator and assist with cross trained services
