A Meetings Technology Specialist actively collaborates with clients and internal partners to optimize the effectiveness of the Cvent platform, ensure goals, objectives and SLAs are met or exceeded. This individual is responsible for effective configuration, operation, maintenance, and support of Cvent, (does not handle logistics, source venues or build event websites) while also ensuring that appropriate system and data quality controls are in place to meet security polices and standards. This individual will be responsible for providing support to multiple clients globally.
Responsibilities include but are not limited to:
  • Accountable for overall technology strategy, creation and maintenance, and Cvent configuration for the client(s).
  • Act as an authority on all Cvent features and functionality by explaining the pros/cons and the best way to configure Cvent to meet the client’s needs
  • Lead all Cvent system configuration and communicate each module functions in everyday terms.
  • Partner with Cvent to support new client implementations by advising, consulting, sharing best practices, and lessons learned.
  • Ability to configure and facilitate all Cvent modules and any changes to support new client implementations or 3rd party integrations.
  • Provide insight into standard processes and make recommendations to optimize configuration and platform capabilities
  • Ability to understand the end-to-end process to see opportunities to streamline processes and gain efficiencies within Cvent
Maintain all aspects of Cvent including but not limited to:
  • Configure Cvent per client’s business requirements
  • Build meeting request forms to collect key event requirements
  • Perform regular review and update of libraries and data/value lists
  • Supervise the accounts workflow and settings
  • Create and publish reports
  • Construct and maintain attendee management templates
  • Update field values as needed
  • Maintain roles and transparency settings to ensure security and integrity of data
  • Lead user license consumption and acquisition of additional users
  • Diagram process requirements to configuration and workflow
  • Identify and assess potential impacts of new software releases on the configuration and user community and provide details to client
  • Work with technology team and operations to support activities where meetings technology expertise is a focus and to ensure client objectives and requirements are conveyed throughout the organization
  • Guide on change requests, make recommendations, and implement changes within agreed timeframe
  • Coordinate and conduct new user training and end user retraining, when vital
  • Build and maintain training documents, manuals and self-help tools (FAQ, checklist, on-demand training, etc.)
  • Present internally as an SME on meetings technology and related topics
  • Work on different projects with contending timelines and outputs
Required Skills/Qualifications
  • Cvent experience required; sophisticated experience working as a system administrator or implementation support preferred.
  • Minimum of 2-4 years of work experience in project or client management role, preferably in the corporate meetings industry, software or other high-tech industry.
  • Bachelor’s degree preferred in Business, IT or relevant work experience preferred.
  • Experience working in the Event Management industry a plus.
  • Experience in the Life Science and Pharmaceutical vertical is preferred.
  • Outstanding interpersonal skills, ability to communicate at various levels of the organization with written and verbal messages that work for particular audiences; client-facing experience required.
  • Must be customer and internal stakeholder-advocate; willing to surpass client and internal team members expectations. Having account management or customer service experience is a plus.
  • Strong business and/or technical analysis background, able to lead teams, without direct authority, and through sophisticated requirements definition and analysis of business solutions
  • Highly articulate and great listener, detailed, yet able to simplify complex concepts into everyday terms for greater understanding
  • Ability to work well in difficult or stressful situation and maintain professionalism even in a demanding and fast paced environment
  • Ability to comprehend and diagram process flows and find opportunities to streamline and improve efficiency
  • Possess skills for learning and applying industry specific knowledge in a fast paced, analytical and team-oriented environment
  • Expertise in MS Office productivity tools such as Excel, Word, PowerPoint and Visio
  • Must be willing to travel approximately less than 10% of the time
  • Must be willing to work virtually

The US national annual base salary range for this position is from $46,000 to $93,000. The national range provided includes the base salary that GBT expects to pay for the role. Actual base salary will be based on factors including the scope and complexity of the role and the successful candidate’s relevant experience, skills, knowledge, and work location.
