JOB SUMMARY
Hands In 4 Youth Inc., established in 1924, has run for 99 years as a not-for-profit organization that provides year-round educational programs and seasonal summer camp for underserved youth. Key components of this job are: Overseeing the implementation of an HI4Y/ DYCD Afterschool Program;
Supervising staff; Reviewing program content; Forming community relations with key stakeholders.
The NYC Programs Site Director is responsible for ensuring that HI4Y’s mission, vision and values are present and carried out throughout the program. Site Directors are responsible for conducting themselves in an appropriate manner, setting the example for children, parents, and co-workers. The ideal candidate for this position will have experience working with youth, ideally in a camp or after-school setting, and an understanding of social emotional learning and conflict mediation. MAJOR DUTIES & RESPONSIBILITIES
PROGRAM OPERATIONAL MANAGEMENT
▪ Provide oversight and supervision to all aspects of the DYCD COMPASS program including assisting in setting program goals; contributing to the strategic planning process; Develop plans for strategically implementing program objectives.
▪ Ensure the program complies with all aspects of DOHMH SACC regulations as well as DYCD COMPASS programs. Ensure all required program and organizational elements are provided and all rooms and program spaces are safe, clean and fully functional.
▪ Oversee the outreach, recruitment, application process, program enrollment, and retention process.
▪ Work with the school and community to reach out to parents/families to ensure full enrollment of the program.
▪ Maintain contact with DYCD officials and staff throughout the program period.
▪ Develop and maintain positive relationships with all stakeholders such as school administration, participants, families, and other community organizations and/or programs.
▪ Maintain DYCD Connect database by completing school year and summer workscopes, schedules and registrations.
▪ Follow procedures and systems to ensure all attendance is entered in DYCD Connect in a timely manner, weekly at minimum.
▪ Prepare all required program reports for DYCD; ensure all program reports and verification tools are submitted to DYCD on a timely basis.
▪ Run attendance reports ensuring that ADA (Average Daily Attendance) and ROP (Rate of Participation) are met and maintained.
▪ Responsible for collecting and maintaining all participant files in accordance with DYCD/DOHMH, including up-to-date medical records.
STAFF MANAGEMENT [HIRING/ TRAINING/ EVALUATION]
▪ Coordinate with Director of Programs to identify staffing needs and ensure that all positions are filled in a timely and effective manner.
▪ Recruit, hire, train, supervise and evaluate all program staff, including group leaders, activity specialists and educational specialists.
▪ Develop and maintain relationships with schools, universities, and other organizations to identify potential candidates for staff positions.
▪ Conduct interviews and other selection processes to identify the best candidates for each position.
▪ Provide training and support to new staff to ensure that they are able to perform their duties effectively and in accordance with the organization's policies and procedures.
▪ Monitor the performance of staff and provide feedback and support as needed to help them succeed in their roles.
▪ Responsible for preparing/reviewing timesheets on a bi-weekly basis and submitting them to the payroll department for processing. Ensure proper staff coverage for scheduled and unscheduled times off.
▪ Gather and collect all new staff paperwork; maintain all personnel records in accordance with DYCD and
DOHMH standards, including all up-to-date clearances.
▪ Ensure that program staff are clear on program goals and are given the direction and support they need to achieve those goals.
▪ Ensure that all staff follow DYCD/DOHMH/HI4Y/partner school’s regulations.
▪ Develop and implement a comprehensive training program for all staff who work within the program to support their individual goals as well as the agency’s.
▪ Coordinate with the Director of Programs to ensure that staff are trained in all relevant areas, including childcare practices, developmental stages, anti-bullying, conflict mediation, programming, curriculum and standards, policies and procedures, organizational structure, and games and fun activities for kids.
▪ Provide training and support to staff as needed to ensure that they are able to provide high-quality programs for program participants.
▪ Conduct regular evaluations of staff performance to ensure that they are meeting the expectations of the organization and the needs of the youth they serve.
▪ Provide feedback and support to staff to help them improve their performance and skills.
▪ Track, update, and maintain record of completed SACC accredited training.
▪ Develop and implement a system for tracking staff training and evaluation records, and maintain accurate and up-to-date records and reports in compliance with DYCD and/or DOHMH.
▪ Collaborate with the human resources department to ensure that staff are recruited, hired, and retained in a manner that is consistent with the organization's goals and objectives.
▪ Attend meetings, conferences, and other events as needed to stay informed about best practices in the field of youth development and staff training and evaluation.
FINANCIAL MANAGEMENT
▪ Manage and maintain program budgets ensuring compliance with funder and agency requirements.
▪ Review budget and budget modifications in conjunction with the Director of Finance and Director of
Programs.
▪ Submit purchase requests, thoroughly and in a timely manner; ensure all supporting documents such as invoices, receipts are also submitted in a timely manner.
▪ Respond to funder requests which can include both programmatic and financial information.
▪ Record & submit school food applications and attendance for snack/dinner.
YOUTH DEVELOPMENT & COMMUNITY ENGAGEMENT
▪ Ensure the safety and security of each participant by following all RTS and DYCD after-school protocols and procedures regarding safety, supervision, accident and incident reporting.
▪ Utilize principles of positive youth development through use of behavior management and discipline techniques that foster social, emotional, and cognitive growth, and build self-esteem and responsibility in all participants.
▪ Build positive relationships with and among participants, and act as a role model.
▪ Responsible for convening participant and parent orientations.
▪ Promote family and community involvement through appropriate program communications, engagements and activities.
OTHER DUTIES
All duties listed above are primary to this position and are the key objectives your performance will be measured against. As part of working in an agency of our size, you will also be expected to perform tasks outside of the scope of your reponsibilities, as deemed necessary by Senior Management Team.
REQUIREMENTS
▪ Five years of experience in either direct youth work, government or non-profit agency, with at least 2 years in a managerial or leadership capacity.
▪ Bachelor's Degree in social work, education, psychology, youth-development, non-profit management or 4 years equivalent experience in those areas.
▪ Proficient communicator (written & verbal), decision maker, problem solver.
▪ Cooperative and Collaborative demeanor, willingness to work as part of a team.
▪ Displays good character, high level of integrity, accountability, adaptability, and confidentiality.
▪ Ability to lift up to 50 pounds without assistance (event set up & take down)
▪ Bilingual – Spanish/English a bonus
▪ Valid driver’s license and good driving record
▪ Travel required – must be able to meet with Senior Leadership Team at HI4Y’s main office, bi-weekly.
