Position Summary
Performs general administrative and support duties for the Marble Hill plant. Answers incoming calls and routes to proper resource. Supports the Marble Hill site and management team in various duties. May be cross trained and proficient in various duties (including but not limited to Store Room, Logistics, and Quality/ISO).
Principal Duties & Responsibilities
- Receive receipts into Oracle all incoming supplies and materials.
- Works with Oracle hold report to solve discrepancies.
- Generates and processes check requests in Basware
- Enters all non-PO related invoices into Basware (code & pay)
- Manages all critical invoices (utilities), monitors for payments and communicate with Basware team.
- Speaks to vendors to resolve payment status of past due invoices (frequent calls / emails)
- Manage daily mine blasting usage (excel)
- Assist buyer with various duties such as, new supplier/vendor certification, hold report...
- Manage employee uniform, hi-vis clothing, safety boot and safety glass program.
- Greet employment candidates when arriving for interview or inquiring about employment.
- Manage new hire gift inventory, order when needed. Provide new hire gifts as needed.
- Assist employees when completing benefit elections when needed.
- Prepare new hire orientation manuals and assist with new hire orientations.
- Assist employees when attending onboarding zoom meetings with shared services.
- Manage employee recognition program
- Assists with employee appreciation activities, including picnics and Christmas parties.
- Update Huber TVs with announcements of new hires, birthdays, and anniversaries.
- Manage Percipio compliance training (HR/EHS) activities for all employees, notify managers when employees missing training deadlines.
- Performs general administrative duties for the Plant Manager and others as appropriate including:
- Manage vehicle tags, titles and insurance; including going to tag office as needed.
- Annual renewal of Marble Hill business license; including visiting / contacting county administrative building as needed.
- Manage MVIX Digital screen tool and update screens as required.
- Manage Transaction Guest system; maintain accurate contacts and provide EHS with monthly report of contractor hours.
- Organize and maintain various filing systems (paper and electronic) and maintains electronic information on the Marble Hill share drive. (maintains files for vendor invoice receipts, uniforms, safety boots/glasses electronic file, HR).
- Prepares outgoing mail and routes incoming mail to appropriate staff member. Includes Fed-ex and daily trip to the post office.
- Manages office supplies
- Assists with special projects: Safety incentive programs, quarterly meetings/meals, plant related meetings, etc.
- Manages Quench water vendor and orders coffee and supplies monthly.
- Serves as ISO Auditor and conducts internal audits per ISO requirements
- Point of contact to external uniform vendor
- Involved in employee recognition including event planning
Specialized/Technical Knowledge or Required Skills
A minimum of five years related experience (administrative, accounting, business).
HS Diploma/GED required. A technical certificate, Associates Degree or 2 years of college course work preferred or an appropriate combination of experience and education in business, finance, administrative or other related. Candidates with significant relevant experience with other educational background will also be considered. Purchasing, Accounting, Customer Service, Human Resources, Logistics experience/knowledge a plus.
Must have a valid GA Driver’s license and personal transportation as travel (to the local post office and other errands related to the plant are necessary).
High proficiency level Microsoft Office (Word, Excel, PowerPoint). Experience using Oracle is a plus.
Must be able to function as part of a high-performance team dealing with employees and management in different areas of the plant.
Must be adaptable to changing work processes and procedures and deal with fast paced short lead time environment to process required purchases paperwork.
Basic understanding basic Accounting and Financial processes.
Work with minimal supervision, be able to multitask and have excellent problem-solving skills. Must be able to maintain confidentiality of information.
