Overview
Manage the day-to-day administrative operations of the office. Oversee office staff, maintain supplies and equipment, handle correspondence and scheduling with clients and community service. The Office Manager is the liaison between the front office and the rest of the staff.
Responsibilities
- Train, schedule and supervise front office staff and volunteers.
- Organize, train, schedule and supervise community service volunteers.
- Assist with the onboarding and offboarding of front office employees.
- Resolve clients’ issues with the facility and the staff.
- Keep and maintain a file system for client and office records and electronic databases.
- Order office and facility supplies and ensure that basic equipment like printers, copiers, and computers are properly maintained.
- Stay up to date with advances in office administration software, equipment, and procedures.
- Handle incoming and outgoing email, telephone, mail, packages, and any other correspondence.
- Provide general support to office staff and help resolve administrative issues.
- Create invoices for all classes, behavior privates and evaluations, and adoptions.
- Respond to and triage clients’ inquires for all of our services (Adoption/Training/Behavior/Events etc.).
- Sign up clients for their appropriate classes.
- Maintain a waiting list for all services.
- Ensure that office operations comply with company policies as well as legal and regulatory requirements.
- Prioritize tasks and manage time efficiently in a busy work environment.
- Maintain a professional demeanor and dress code.
- Put together and drop weekly bank deposits.
- Other duties as assigned.
Qualifications
- Associate's degree or relevant work experience.
- High proficiency with office software such as but not limited to word processors, spreadsheets, email, Point of Sale systems, and other electronic databases.
- Familiarity with office equipment and procedures.
- Strong organizational and time-management skills.
- Ability to supervise and motivate staff.
- Excellent written and verbal communication skills.
- Experience coordinating facility management and maintenance.
- Must love dogs (and the office cats). Must be comfortable working with and around dogs and cats.
- Must have a working knowledge of, or willingness to learn about, positive reinforcement and relationship-based training philosophies and techniques.
- A strong constitution is highly recommended; aka, an ability to keep a clear head while dealing with difficult emotional situations, medical emergencies, or general animal grossness.
- Strong problem-solving and decision-making skills.

Pay: $600.00 per week

- Associate (Preferred)
