The Office Manager will coordinate and organize administration and procedures in order to ensure organizational effectiveness, efficiency and safety. The Office Coordinator is responsible for assisting the Executive Director and Managers (Marketing, Education) with day-to-day activities, developing intra-office communications protocols, streamlining administrative procedures, and managing inventory. The Office Coordinator should be well-organized, flexible, able to handle a wide range of administrative tasks and able to work independently with little or no supervision, and enjoys the administrative challenges of supporting an office of diverse people.

ESSENTIAL DUTIES/RESPONSIBILITIES

Staff and Board Communication and Relations

  • Assist the Executive Director and Staff
  • Support the supervision of interns and work with them on specific tasks and programs

Office Management

  • Prepare State of Colorado sales tax registrations and other required reports*
  • Assist Marketing Manager with membership - enrollment, membership information to new members, etc.
  • Office supply orders, order books.
  • Maintain classrooms and equipment - printer, Internet, classroom calendar, etc.
  • Contact vendors
  • Create contracts between AFD and vendors
  • Inventory- be up to date with the needs and the possessions of AFD, order supplies as needed in correspondence with the budget

HR

· Onboarding process for the employees: send out paperwork, create profile on Quickbooks, run background checks

· Keep track of PTO’s

· Tracks teachers’ hours after payroll

Building

  • Manage insurance policies and records*
  • Oversee purchasing of office equipment*
  • Maintain filing systems of important documents*
  • Support internal operations including facility cleaning, maintenance, IT and security
  • Ensure building maintenance and repair as needed, including garden maintenance and snow removal
  • Oversee office rentals

School

  • Be available to assist with reception support (including phones, enrollment, translations, private classes, event registration)
  • French exams: Enrollment, payment and filing, communication with candidates regarding certificate pick-up
  • Pay and post all certification exams

Accounts Payable and Receivable*

· Review and approve bank deposits.*

· Prepare and input electronic banking.*

· Monitor income/expenses.*

· Issue checks for appropriate expenses.*

· Prepare monthly reconciliations.*

· Keep check registers current.*

· Assist in financial audits and grant proposals.*

Additional Responsibilities:

Other projects include preparation of monthly sales tax.

Qualifications:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily and have an advanced knowledge of Quickbooks and Oncord. JOB QUALIFICATION

Knowledge, Skills and Abilities:

Detail-oriented (IMPERATIVE)

Ability to multitask and remain organized

Solid knowledge of generally accepted standards of customer service and conflict resolution

General proficiency in Microsoft Office Excel, Word and Outlook

Very strong communications skills - ability to communicate effectively both verbally and in writing, with the public, employees and students on a daily basis

Self-motivated and proactive

Intermediate French proficiency (speaking) a plus

Nonprofit experience a plus
