Position Description

Position: CIC Office Manager

Immediate Supervisor: CIC President/CEO

Broad Function: Manage CIC office administrative functions

Position: Non-exempt

JOB SUMMARY:

The CIC Office Manager will be under the supervision of the President/CEO.
The employee will be responsible for the performance of the general administrative functions of the organization. The employee will operate standard office equipment including a computer and should be able to design and utilize computer reports, etc. using standard software. The employee’s work setting will normally be the office. The employee will need to be familiar with current and new regulations and guidelines relating to government and non-profit organization principles and procedures.

ESSENTIAL FUNCTIONS:

1. Provide administrative and managerial support for the CIC President/CEO,
CIC Executive Committee, CIC Board of Directors and CIC office; answers telephones, greets visitors/volunteers, coordinates calendars, maintains files, order and maintain office supplies, monitor office equipment and machines, processes donation items, monitors office general repair and cleanliness, etc.

2. May serve as the President/CEO’s representative at meetings, functions, events, etc. and provide necessary information and policy.

3. Contacts or responds to contacts from community leadership, business leaders, major donors, etc. involving unique situations and each contact must be handled using good judgment and discretion.

4. Review/edit outgoing correspondence for correctness and accuracy, drafts and develops letters to donors, businesses, etc. and maintains operating instructions.

5. Coordinate collection and preparation of operating reports such as time and attendance records, budget expenditures and records of performance data.

6. Conducts research and analytical studies, preparing reports that include informational data to support findings.

7. Assist and support the grant committee, faith community committee, the fund-raising committee, golf committee and other CIC committees as required.

8. Assist with planning and hosting the CIC Board of Directors and other various meetings and events.

9. Maintain CIC website, edit information and maintain calendar of upcoming events.

10. Coordinate and utilize CIC volunteers/interns and the CIC office volunteer program.

11. Maintain CIC database management software, Raisers Edge and various specific databases, including maintenance, troubleshooting and training.

12. Monitors CIC office IT/technology, computers, computers, etc.

13. Develop and assist with marketing materials, brochures, informational packages/folders, donor mail-outs, fund-raising campaigns, ground- breaking ceremonies, ribbon cutting ceremonies, donor recognition functions and similar events.

14. Publish, edit, print and distribute the bi-annual CIC Newsletter.

15. Prepare financial and subsidiary reports as required by the CIC

President/CEO and/or Board of Directors.
16. Assist CIC Financial Director in preparation of annual capital, expense and activity budgets.

QUALIFICATIONS:

1. Must be well organized, professional, a self-starter, a dedicated worker, a critical thinker, a problem solver that can operate with minimum supervision.

2. Must have the ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

3. Must have the ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures and governmental regulations.

4. Must have the ability to create reports, write business correspondence and prepare procedure/policy manuals.

5. Must have the ability to effectively present information and respond to questions from groups of managers, clients, customers, donors, board members, committee chairs and the general public.

ADDITIONAL RESPONSIBILITIES:

EDUCATION AND/OR EXPERIENCE:

1. Associate Degree preferred or four years experience in related field or any combination of experience, education or training which would provide the level of knowledge, skill and ability required.

2. Proficient in PowerPoint, Publisher, Microsoft Word, Excel, Outlook, etc., required.

3. Knowledge of appropriate office management skills.
4. Ability to maintain good working relationships with co-workers, supervisor and CIC Board of Directors.
5. Ability to communicate orally, verbally and in written format with a wide range of people.
