Prospective candidate will provide all duties of Niceville Office Manager, and will also act as deputy Facility Security Officer, and assistant Program Control Specialist for COM 3.1.

Responsibilities:

Manage and lead Niceville office activities to achieve maximum impact and efficiency (estimated at 40%, 800hrs). Duties include:

  • Provide support to assigned and visiting senior executive leadership
  • Manage office work and meeting space to meet coworker needs
  • Manage the local Morale, Welfare and Recreation (MWR) budget
  • Assist in organizing and executing local MWR events and community outreach activities
  • Coordinate all office events including business meetings, lunches, etc.
  • Assist with in-processing and onboarding of all new employees hired in the Florida region
  • Manage office supplies to include proactively maintaining accurate levels of all supplies
  • Help prepare reports, customer deliverables, and other departmental projects as needed, including technical writing
  • Other duties as assigned by CWSD BU lead
Assist Program Managers in project control duties (estimated at 15%, 300hrs). Duties include:
  • Track Government funding provided by multiple customers; tracking will be at the Contract, Task Order and Project level; manage man-hours, material, ODCs, and travel expenses to ensure funding is managed accurately and appropriately.
  • Process and record travel requests for employees on various contracts.
  • Ensure that all travel is planned, coordinated, approved, executed, and reported within the guidance and regulations set forth by contract and the FAR. Applies to both MTSI and subcontractor personnel.
  • Use contract/contract modification data to create project budgets from awards.
  • Coordinate, prepare, and submit contract deliverables in a timely manner. Some of these include Monthly Status Reports, Technical Reports, Meeting Minutes, Project Management Plan, Quality Management Plan, Transition-In Plan, and Transition-Out Plan.
  • Create management/financial reports in accordance with customer and MTSI-defined format.
  • Track revenue, monitor direct and indirect expenses, calculate profit, establish burn-rates, and to provide ideas/solutions to PM’s and Project Leads. Calculate EACs and advise Contracts when to submit Limitation of Funds letters.
  • Ensure accuracy of invoices prior to submission.
  • Verify employee time sheets and expense reports.
  • Reconcile CostPoint and Task Order/Project data.
  • Work daily with the Government Technical Leads, MTSI program managers, and MTSI subcontract PMs to ensure that all working tasks have appropriate funding allocations to reach program goals and deliverables.
  • Prepare monthly cost reports and subcontract reports.
  • Prepare monthly subcontract analysis, accruals and process subcontractor invoices for payment.
Assist Facility Security Officer in site security duties (estimated at 15%, 300hrs). Duties include:
  • Assist FSO in running site according to NISPOM direction and MTSI best practices
  • Track status of personnel clearances
  • Ensure classified documents are maintained in a secure manner
  • Ensure classified meetings are conducted in a secure manner
  • Ensure facility is maintained and upgraded according to NISPOM standards

Qualifications:

  • Bachelor’s degree Business, Marketing/Accounting or other related field; 5-years’ experience may be substituted
  • Familiar with PowerPoint, Microsoft Word, Excel, and Outlook
  • Experience with business related skills, such as accounting, payroll, hiring, budgeting, marketing, etc.
  • Ability to lead task order-level proposal development with minimal oversight (oversight expected for larger and more complex proposals)
  • Ability to write, speak and interact clearly and professionally
  • Well organized. Strong multi-tasking and time-management skills.
  • Can handle sensitive information with the highest degree of integrity and confidentiality.
  • Willingness to travel to meet Business Unit demands—anticipated locations include Ft Walton Beach, FL; Tampa, FL; Omaha, NE; Alexandria, VA
  • Must be analytical and demonstrate the ability to meet goals and deadlines accurately and on time in a fast paced environment.
  • Excellent communication and customer service skills
  • Ability to work independently and as a member of a team.
  • Able to obtain a security clearance
Desired Qualifications:
  • Master’s Degree
  • 10+ years experience
  • 5+ years of Program Control experience or related experience in a Defense Contracting environment.
  • Experience working with multiple contract types: FFP, T&M, CPFF
  • Experience with Deltek/CostPoint/Cognos.
  • US Gov/DoD SECRET clearance
