Office Supprt III (Family Court) Job at County of Berks
POSITION SUMMARY:
Provide office support to members of the Court Administration staff in the various areas of Court Administration, including Family and Dependency Court. Provide assistance and back-up support to other office support staff, as needed.
POSITION RESPONSIBILITIES:
Essential Functions
- Provide administrative support to the Court Administrator, Deputy Court Administrators, and other staff members, as directed.
- Proofread dependency orders and manage court flow for the Juvenile Hearing Officers.
- Create appointment orders for Guardians Ad Litem.
- Create files, establish filing systems, maintain files, and archive files, as necessary.
- Pull Dependency files for upcoming proceedings.
- Type letters, motions, or briefs, including appellate court briefs.
- Answer telephone and giving general information or responses or take messages.
- Research and complete Custody Scheduling Orders.
- Electronically file Custody Scheduling Orders through JPortal.
- Research the names on Children in the Middle Completion Certificates, adding the Docket number(s) and electronically filing them through JPortal to the Prothonotary’s Office.
- Keep track of the free Children in the Middle slots granted by the Judges through In Forma Pauperis Orders and notify Family Guidance Center of those names.
- Conduct quality control checks on Family Court Orders and act independently as needed.
- Serve in support role as needed in Protection from Abuse Office.
- Serve as a back-up to court administration for procurement of supplies and materials.
- Operate various office equipment.
- Proofread typewritten and printed materials.
- Provide back-up to Assistant Family Court Administrator and other positions, as needed.
- Complete other duties and responsibilities as assigned.
MINIMUM EDUCATION AND EXPERIENCE:
- High school diploma or G.E.D. certification from a recognized issuing agency.
- One year of administrative office experience.
- Any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.
MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES:
· Knowledge of office practices.
· Knowledge of the use of the Prothonotary Case Management System (CMS), the Judicial Portal, Jailhouse Management, the Protection from Abuse Database (PFAD), the Common Pleas Case Management System (CPCMS), Microsoft Word and Excel.
· Ability to operate a computer, printer and recording equipment, and other office equipment.
· Basic mathematical skills.
· Attention to detail.
· Ability to type with a reasonable degree of accuracy.
· Strong oral and written communication skills.
· Ability to handle stress.
· Ability to work independently and as part of a team.
· Physical presence in the office may be required.
PHYSICAL DEMANDS:
Work involves standing, walking, sitting, lifting, carrying, talking, hearing, using hands to handle, feel objects, tools, or controls, and reaching with hands and arms. Vision abilities required by this job include close vision and the ability to adjust focus. The employee must occasionally lift and/or move up to 20 pounds for a short distance.
WORKING ENVIRONMENT:
Normal office environment. The position is stressful due to a heavy workload, time sensitive deadlines and difficult clients. The work environment includes a uniformed Deputy Sheriff to maintain order. Sitting, reading, and typing for long periods are time are typical.
