General Summary

The Operations Clerk requires extensive knowledge of all financial aid programs. This position is responsible for advising students, parents, and staff about the required documents for financial aid eligibility, reviewing the data for accuracy, and processing the documents received. This position assists with processing loans and scholarship checks which could require making corrections to and/or the addition or adjustment of individual financial aid awards in the system. The position directly affects the timely delivery of financial aid funds to students. A high level of accountability is expected because the position is to be available to counsel customers and answer telephone calls. The position requires flexibility and openness to change in dealing with and implementing the annual changes to state and federal program regulations.

Required Qualifications

1. High school diploma or equivalent.

2. Any one or any combination totaling three (3) years (36 months) from the following categories:

A. course work in business administration, communications, journalism, marketing, public relations, psychology, education or a closely related field, as measured by the following conversion table or its proportional equivalent:

  • 30 semester hours equals one (1) year (12 months)
  • Associate’s Degree (60 semester hours) equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)
  • Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)

B. professional work experience in customer service, marketing, public relations, or a closely related field.

3. Possession of a valid Illinois driver’s license.

Desired Qualifications

1. Mathematical aptitude, organizational skills, time management skills, familiarity with computerized databases, and oral and written communication ability.

2. This position also requires knowledge of all financial aid programs.


Work Hours

Monday - Friday; 8:00 a.m. - 4:30 p.m.

Functional Expectations

Must be able to complete the following with or without a reasonable accommodation:

Salary Rate / Pay Rate

$17.72 – $23.04/hour commensurate with experience

The Civil Service examination for this classification is based on your application materials and responses to the supplemental questions. No participation other than submission of applicant materials is required from applicants that qualify to take the exam. If you meet the minimum required qualifications for this position, you will receive a score calculated based on your education and experience, and your name will be placed on the active employment register by exam score. After the application deadline, the names within the top three scores will be referred to the department for interview.
