The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike. HJF is seeking an Operations Coordinator to provide administrative oversight and support to the day-to-day operations of the National Center for Disaster Medicine and Public Health (NCDMPH). Provides operational, management, and programmatic support across all areas of program execution. Completes more routine tasks independently and relies on guidance from higher Program Manager (PM) levels for more complex tasks.
Note: This site requires that the incumbent has lived in the US for three out of the past five years.
Responsibilities:
- Coordinate scheduling for senior Center leadership and attend meetings to prepare summary and note action items. Plan, coordinate, and support meetings and conferences / seminars for both internal and external participants and sponsors.
- Work with other USU and HJF departments (security, travel, communications, contracts, etc.) to coordinate various levels of support and ensure successful execution of program objectives. Provide administrative support under the direction of a supervisor such as purchasing, receiving, and tracking progress.
- In conjunction with the Senior Program Manager, identify operational priorities and develop approaches to ensure priorities are addressed. Develop standard operating procedures to ensure consistency and efficiency across all programs and processes.
- Support the management and execution of special projects out of the Office of the Director, NCDMPH, to include drafting project plans; track deliverables and timelines, highlighting any shortfalls to Center leadership. Coordinate and facilitate the proposal processes working across NCDMPH technical and operations staff.
- Develop an understanding of the technical work being performed by the program to adequately communicate with internal staff and external stakeholders.

- Use sound judgement in solving problems, coordinating many complex systems and programs simultaneously;
- Knowledge of project management principles;
- Excellent communication and interpersonal skills.

Qualifications:
- This position will take place primarily in an office setting.
- Bachelor's Degree
- Minimum of 3-5 years experience
