Position: Operations Specialist
California Health Advocates (CHA)
Location: Hybrid – In Office/Telecommute
Job Summary:
Under the supervision of the Deputy Executive Director, the Operations Specialist is primarily responsible for providing overall staff support, overseeing day-to-day organizational tasks and facilitating efficient communication across the organization.
Primary Responsibilities as Operations Specialist
- Provides overall staff support, including phone reception, word processing and proofreading.
- Organizes files and resource materials, shipping material orders, files, prepares and sorts mail.
- Coordinates, plans, and monitors, in cooperation with Program Manager, special events including virtual meetings and webinars.
- Assists in preparation of reports and correspondence, data entry,records retention, and communication systems,
- Tracks inventory, performance measures and performs data entry and other clerical functions as needed.
- Handle all Human Resources administration including health and retirement benefits for employees, make changes when needed and answer employee inquiries as well as SIMPLE IRA updates.
- Schedule all educational workshops/trainings and in conjunction with the Bookkeeper, appropriately bill for attendee registration fees.
- Assist Program Manager with SMP Fraud Hotline.
- Serve as SMP Case Specialist by answering all calls coming into the SMP Fraud Hotline and complete Initial Contact Forms entry into SIRS database for Case Manager to review.
- Maintain, renew, and monitor all commercial insurance policies (including workers comp, Directors and Officers liability and Professional Liability policies).
- Monitor office/storage leases.
- Fulfill all SMP materials and supply orders.
- Communicate with presenters to confirm event and schedule practice run if necessary.
- Materials Development and Distribution
- Maintain time reporting in SIRS.
- Answer CHA main line and make appropriate referrals.
Qualifications / Experience:
- At least one year of progressively responsible administrative experience.
- Excellent communications skills, professional phone etiquette and reception skills.
- Proficiency in ‘Microsoft Office’ database and spreadsheet software applications.
- Ability to manage multiple tasks.
- Bachelors’s Degree required.

Job Type: Full-time
Pay: $30.00 - $35.00 per hour
