Job Summary
Summary of position: Responsible for training of front desk staff. Responsible for ensuring that the insurance claims are filed correctly, and payments are entered correctly. Oversees accounts receivable (AR) in insurance and patient balances. Responsible for ensuring that contact lenses are ordered properly. Handles contact lens returns and oversees inventory of trials. Ensures staff prioritizes tasks effectively and adheres to scheduling guidelines. Supervises, directs, and assists optometric technicians. Maintains the office in a neat and orderly environment.
You are the first person that patients meet whether over the phone or in person. Only apply if you are personable and energetic.
Responsibilities, to include the completion or supervision of the following:
· Ensure appointments are scheduled and follow scheduling guidelines. Answer patient’s questions; check patients in and out; collect payments; monitor and perform other front desk tasks as needed.
· Ensure that the schedule is confirmed: appointments called the day before to confirm the appointment time; no shows are contacted the same day to reschedule appointment.
· Ensure that calls for insurance pre-authorization are made the day before the patient’s scheduled appointment.
· Ensure patients are aware of office visit pricing and CL fittings.
· Educate patients of contact lens pricing with our without benefits and contact lens promotional offers.
· Create call back file for patients that didn’t purchase CL in office.
· Educate contact lens patients about the need for backup glasses, during dispense.
· Maintain the contact lens inventory.
· Communicate patient concerns and/or issues with the doctors and associates to ensure consistent patient care.
· Document all patient encounters, telephone calls, and no-shows.
· Ensure patients are notified promptly when their contact lenses are available for dispensing.
· Maintain contact lens inventories through receiving shipments and replenishments.
· Order stock, prescription, and trial contact lenses.
· Clean and maintain equipment and instruments in the optometric area.
· *Maintain proper inventories of pharmaceuticals, tear substitutes and any other necessary items and office supplies as directed by the optometrists.
· *Enter payments from insurance companies promptly and accurately.
· *Keeping tabs on bad debt, late insurance, and expected credits from vendors.
*Tasks currently limited to managers unless a doctor makes an exception or other arrangements have been approved due to a manager’s needs.
Job Type: Full-time
Pay: $12.00 - $16.00 per hour
