Sacramento Heart & Vascular Medical Associates is one of Northern California’s foremost specialty groups in the diagnosis and treatment of cardiovascular disease. We have an immediate opening for a full-time Patient Services Representative, seeking employment in a fast-paced environment. This position works out of the main office (centrally located in Sacramento, CA).

We are recruiting for a Patient Services Representative which is a liaison between the clinic and office staff members. This position will interact with medical staff concerning schedule, insurance verification and supply requirements. Responsible for obtaining all required information to register and/or check out patients. With upmost importance, works with medical assistants, nursing staff and physicians to provide excellence in patient care. A valid Covid-19 vaccination and booster is required. This position will execute clinic protocols for patients care as directed according to established standards in accordance with Sacramento Heart & Vascular Medical Associates (SHVMA).

  • Work at front or back desk.
  • Answers, screens, and directs calls on multi-line phone system; takes detailed messages and/or forwards telephone calls to appropriate practitioner voice mail.
  • Meets, and greets patients and visitors; announces, directs, and/or escorts to appropriate area.
  • Schedules and reschedules patient appointments.
  • Inputs patient information and demographics into computer EMR system.
  • Checks voicemails and return calls within 2 hours.
  • Collect and verify completeness of all patient paperwork
  • Accurately collect and log in all co-payments and accounts payments
  • Check in and check out patients and schedule follow-up appointments and procedures as necessary
  • Comforts patients by anticipating patient’s anxieties; answering patient’s questions; maintaining the reception area.
  • Process daily paperwork and ensure it goes to appropriate departments
  • Protects patients’ rights by maintaining confidentiality of personal and financial information.
  • Pull reports as required for daily appointments
  • Produce and distribute correspondence memos, letters, faxes and forms.
  • Update and maintain all digital client’s records and assist in transitioning hard copy to digital format.
  • Arrange hospital admissions and laboratory services
  • Establish and maintain effective working relationships with patients and other staff.
  • Maintain regular and punctual attendance
  • Travel from main clinic to satellite clinics and available for occasional weekend work
  • Completes diagnostic study referrals and obtains authorization for them as required; enters information into the computer patient chart during the process and upon completion as required.
  • Have adequate knowledge of health insurances to ensure a smooth registration/check-in process
  • Perform work-related duties as directed.

Qualifications and Education Requirements

  • HS Diploma/GED and completion.
  • Current CPR certification.
  • Proficient with EMR systems, and computer skills on an intermediate level.
  • Preferred 3 years’ experience in a medical office (front and back)
  • Knowledge of medical office management systems and procedures
  • Knowledge of the factors contributing to quality patient care, and the ability to influence these factors in a positive way.
  • Knowledge and experience with verifications and authorizations for insurances.
  • Ability to work in a fast-pace environment.
  • Excellent written and verbal communications skills
  • Strong organizational and planning skills, ability to prioritize and multi-task and maintain accuracy and productivity.
  • Proficiency in MS Office and patient management software
  • Bilingual preferred.

Working Conditions

  • Frequent exposure to communicable diseases, toxic substances, medical preparations and other conditions common to a clinic environment.

Physical Requirements

  • Requires full range of body motion including manual and finger dexterity and hand-eye coordination. Requires standing and walking for extensive periods of time. Occasionally lifts and carries items weighing up to 50 pounds.
