Payroll Administrator Job at Associa
The Accounting Administrator is responsible for working with accounts payable/receivable, coordinating various accounts for their companies, and other duties may include working with both customers and vendors. The Payroll & Insurance Administrator performs timely submittal of client payroll and supporting duties and oversight and maintain up to date records of client insurance and its renewal. Additional duties assigned highlight related responsibilities to payroll, insurance and vendor compliance.

Duties and tasks include but not limited to:
Client Insurance:
- Tracking of all branch Client insurance policies.
- Prepare COI (Certificate of Insurance) for Home Office monthly tracking
- Update new COI to Community Archives team as renewed.
- Approval of payment of insurance premium invoices.
- Homeowner communication of request for association COI needs.
- Mail annual letters for clients with governing document required tracking of individual owner COI's.
- Track returned COI's in C3 & shared drive
- Issue violations as necessary following governing documents.
Client Payroll:
- Follow weekly/bi-weekly payroll processing for client employees.
- Immediately process payroll invoices with reporting to Strongroom/CSSC teams for documentation.
- Oversee client employee payroll adjustments and communications to Associa CAM's on deadlines to meet:
- Union increases
- Holiday bonus schedule
- New Employee set up, direct deposit, etc
- Conduct workers comp payroll audits.
Resale Orders/Community Archives:
- Assist with updating information in system as it relates to resales
- Assist with transitions for payroll, vendors and insurance
Additional support areas:
- Keep paperless tracking of hard copy Vendor COI's mailed to branch.
- Participate in branch Client AP tasks as assigned.
- Sort documents and post debits/credits to proper account.
- Verify amounts and codes on various forms for accuracy.
- Balance entries and make necessary corrections.
- Maintain and make necessary adjustments to records and/or logs such as journals, payroll/ time reports, or property records.
- Verify and reconcile simple bank statements or department records.
- Works with Client Support Administrators to fulfil Community Association Manager requests
- Education: High School Diploma or Equivalent.
- Experience: A minimum of two (2) years of administrative experience.
- Previous experience in community management preferred.
- Able to read, write, and orally communicate clearly in English.
- Strong abilities with computers are required including but not limited to Microsoft Word, Excel, and Outlook.
- A preferred accurate typing ability of 45 wpm.
- Must have a clear understanding of how to compose business correspondence.
- Should have a basic understanding of all general office equipment and etiquette.
- Excellent organizational, multi-tasking and customer service skills are required.
- Ability to work effectively in a team environment and be self-motivated and exercise good judgment.
- Requires basic math skills and an understanding of basic accounting practices and principles.
- The position also requires the ability to manage multiple priorities and problem solve.
- Strong attention to detail and organizational skills are required.
- Must be able to communicate clearly both verbally and written. Discretion is of the utmost importance
