Job description
As a vital part of the SSDM team, your main responsibility will be to lead projects through various phases of writing, design, and execution, working with the customer experience managers, creative and production/performance teams to assure ability, comprehension and clarity. Your main objective is to plan out, prepare, coordinate and monitor all assigned projects during their life cycle within the agency (and occasionally via outside vendor resources).
You will work on a variety of project types, supporting and reporting directly to the Director of Project Management. There will be heavy interaction with our internal team and you will sit in on occasional client-facing meetings. No client presentation/interaction will be required initially, but is something you would be expected to grow into.
You will be working with various digital tools like Wrike (project management), ZenDesk, Bamboo and Google Workspace.
A quick overview of what you will be doing daily/weekly/monthly:
- Ensuring all parts of assigned client projects are recorded, tasks are assigned with timing and estimated hours to complete (organized) and that the project continues to progress according to predetermined milestones and deliverable dates; you will primarily using Wrike (as mentioned above) for assigning work and project tracking
- Participating in assigned project meetings, taking notes, contributing guidelines and distributing meeting minutes (with decisions and action items) to all vital participants
- Assisting in assigning detailed project tasks to relevant parties and checking in for status updates
- Working with leadership of other departments to forecast issues and address delays
- Reporting project outcomes and/or risks to the appropriate management channels as needed—escalating issues as necessary based on project work plans
Overall Responsibilities
- Juggle multiple projects and priorities simultaneously
- Asking questions when you are not sure
- Liaise with leadership/management and, ultimately, clients to identify and define project requirements, scopes, and objectives
- Coordinate internal and external resources, ensuring projects remain within scope, schedule, and defined hours
- Facilitate highly effective meetings via timed agendas, meeting minutes and more
- Assign detailed roles and tasks to dedicated team members (working with CX)

Skills and Qualifications
- Bachelor’s degree in marketing or business administration preferred, but will consider commensurate experience
- Some experience with successful client communications
- Proven success in a corporate setting, working with various levels of management
- Strong written and verbal skills. Bonus if you have some experience in presenting to a business/client setting
- Google G Suite experience a plus
- Experience in Wrike or other project management software would be a big bonus

Hiring process
- SSDM will review resume and hiring questions/cover letter
- We will call you to request a time for a ½ hr virtual interview
- After the virtual interview, we will confer as a team
- If we do not decide to move forward, we will call you to communicate our decision
- If a 2nd interview is desired, we will call or email you to schedule either a 2nd virtual interview (or in-person) with a larger team
- If we desire to move forward after 2nd contact, we will send you a link to complete a Clifton Strengths Assessment and potentially a project to assess skill level as well. The next interview will be scheduled far enough out that you will have plenty of time to complete both prior to the interview.
- Interview with a larger team. If this is in person, we will move to the next step. If it is not, then we will determine if we desire to bring you in for an in person interview.
