The Project Manager, Special Projects will play a key role in managing regulatory and strategic projects impacting operational and financial initiatives across the organization. This individual will be responsible for project and program management for priority initiatives impacting Access, Transformation, Revenue Cycle and other special projects, as assigned. This includes project planning, tracking progress and status against milestones, reporting to relevant leadership groups, and convening stakeholders from across functions to execute assigned initiatives. In this role, the Project Manager will display astute leadership serving as an internal consultant who leads the implementation of regulatory requirements, process improvement and redesign projects. The incumbent will also maintain ownership of priority initiatives ensuring compliance with key performance indicators and communication with leadership and other key stakeholders. This position requires strong organizational and communication skills, and knowledge of hospital operations impacted by patient financial functions, including both patient-facing and back-end workflows. This position reports to the Executive Director of Access and maintains a matrix relationship to Executive Director of Revenue Cycle.


MAJOR ACCOUNTABILITIES/CRITICAL RESPONSIBILITIES:


  • Manages multiple projects throughout their life cycles and interfaces with all areas and individuals affected by the project. Develops and maintains detailed project plans, resource requirements, and other program specific documentation for each active project.
  • Assists in the development and implementation of project management methodologies, standards, processes, and documents. Facilitates timely completion of project activities across functions.
  • Continuously monitors active projects for signs of existing or potential issues and takes the lead role to solve or preclude the problem from developing. Escalates all issues in a timely manner that cannot be addressed and resolved by the project team or the project sponsor.
  • Ensures that project statuses, issues and successes are communicated and documented appropriately to project team, stakeholders, sponsors, steering committee (where applicable) and management. Fosters open communication across teams addressing delicate situations and professionally manages conflicts to maximize opportunity and minimize exposure to risk.
  • Leads execution of prioritized, strategic initiatives to drive operational/financial improvements.
  • Maintains ownership of programming related to the No Surprises Act (NSA) federal requirements and other regulatory and state requirements completing expected project phase deliverables, including regular check-ins with Executive Leadership Team regarding NSA initiative progress..
  • Provides leadership to small to medium-sized analytical and process improvement-related projects with multiple stakeholders. Ensures that all projects are delivered on-time, within scope and within budget. Develops appropriate employee and management communication plans as necessary.
  • Demonstrates leadership skills by leading and driving projects to completion in a timely and effective manner. Prioritize and assign tasks to resources as needed for projects and monitor to ensure timely completion.
  • Be a “super-user” of Business Intelligence tools such as Tableau and assist leadership in making data-driven decisions to guide decision-making and improvement projects.
  • Meet with department directors and managers to identify operational issues related to access and revenue cycle functions. Analyze department operations to proactively determine potential enhancements or improvements.
  • Acts as a liaison maintaining relationships with all levels of administration, physicians, other departments, and outside organizations to coordinate and improve operations, accomplish directives and to facilitate the resolution of challenges. Leverage communication skills to influence and lead others.
  • Serve as a primary contact to work with Data Warehouse team and Information Services PMO to manage and coordinate data requests and projects, as needed.

Required Skills

Required Experience
  • Bachelor’s degree in business, healthcare administration, finance or related degree required.
  • Master’s degree in Healthcare Administration, Business Administration or relevant degree is preferred.
  • Knowledge of access and revenue cycle functions (both patient-facing and back-end workflows), government and managed care/commercial payer requirements in acute and ambulatory settings highly desirable.
  • Formal Project Management certification preferred (CAPM, PMP, or higher)
  • A minimum of three years consulting experience in a healthcare setting performing similar duties and functions is required. Sound and proven analytical and project management experience is preferred.
  • Experience in process and performance improvement at hospitals and /or physician practices.
  • Problem solving and root cause analysis experience is required.
  • Analytical ability is required to design highly complex clinical operations and financial systems and programs in performing various analyses and summarize the data for problem-solving purposes.
  • Familiarity with electronic health records (ex: Meditech, eClinicalWorks, Epic etc.) and related business intelligence tools for self-service analytics (ex: Tableau, Power BI, etc.).
  • High level of competency with Microsoft Office products including PowerPoint and Excel is required.
  • Prior experience facilitating presentations to all levels of the organization is required.
  • Superior written and verbal communication skills along with strong project management skills are required.
  • The ability to work with individuals at all organizational levels, particularly peers, team members, other departments, patients, and the community is required.
  • Knowledge of state and federal regulations impacting healthcare financial operations is useful.
