Top Producing Realtor is looking for a Real Estate Assistant to join our team and provide administrative support to our real estate agents. Responsibilities include managing client databases, scheduling appointments, preparing documents, and providing general administrative support. This is a fast-paced, supportive environment in a highly productive office. Individual will be responsible for handling all administrative tasks as it pertains to business pursuits, including, monitoring legal contracts (zip forms and real estate contracts), critical deadlines and marketing efforts. The ideal candidate is a self-starter, a go-getter and a team player that will always take initiative and keep the team organized. Must possess an attention to detail, a strong work ethic and desire to learn. Requires a background working for a real estate agent.
Basic Office Management:
● Draft, implement and manage systems, checklists, and procedures to ensure the office runs smoothly. Manage the database.
● Provide an executive level of administrative support such as phone and email management, calendar management, run errands as needed, and keep your Agent focused on key tasks.
Listing and Transaction Management:
Perform Transaction Coordinator Duties per compliance department.
● Prepare Agent for listing presentations, schedule photo shoots, produce “coming soon” postcards, and collaborate with the media team to ensure property videos are uploaded, and input listings into the MLS.
● Schedule showings, inspections, communicate with clients, and prepare disclosures. Be the liaison between the Escrow Company, Lender, Title, and client. Produce “just sold” postcards, update social media, website, MLS, and gratitude gift and notes to clients and staff.
Hospitality:
● Provide concierge-level assistance to the Agent and active buyers and sellers.
● Engage in client-appreciation and partner outreach.
● Serve as the key contact person for clients, and make clients the priority at every step in the process.
● You will approach every client interaction with a commitment to provide a concierge-level of customer service.
Marketing:
● Coordinate and contribute to website content and various updates.
● Coordinate the preparation of marketing materials with marketing team for listings and sold properties, including property statements, brochures and websites, and email campaigns.
● Assist with special projects, capturing client reviews, marketing initiatives, and tasks on behalf of the Agent
Job Requirements:
● 2-3 years’ experience working in an assistant role with demonstrated organization skills and a proven track record.
● Must be highly organized, detail oriented, and possess the ability to handle sensitive and confidential information.
● Excellent communication skills (verbal and written).
● Capable of organizing and prioritizing heavy workloads in a deadline driven, fast paced environment with accuracy.
● Proficiency in Google Business applications and comfortable with technology.
● Demonstrate high level of professional demeanor, integrity, ethics and leadership.
● Real Estate experience is a must.
Job Type: Full-time
Pay: $35,000.00 - $60,000.00 per year
