Shift:Part Time

OVERVIEW:The Administrative Assistant facilitates the efficient operation of the facility by performing a variety of clerical and administrative tasks.

Responsibilities:

  • Answers and transfers phone calls, screening when necessary
  • Welcomes and directs visitors and clients
  • Maintains filing systems as assigned
  • Performs clerical and administrative tasks including drafting letters, emails, billing & invoices, verification of insurance, create reports, and other documents
  • Retrieves information as requested from records, email, minutes, and other related documents
  • Responds to and resolves administrative inquiries and questions
  • Coordinates and schedules travel, meetings, and appointments for managers or supervisors
  • Prepares agendas and schedules for meetings
  • Records and distributes minutes or other records for meetings
  • Maintains office supplies and coordinates maintenance of office equipment
  • Maintains a system for recording expenses and the use of petty cash
  • Receives incoming communication on behalf of staff, reviews contents, determines importance, and distributes contents to appropriate staff

Requirements/Qualifications:

  • Experience in an administrative role
  • Excellent verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Knowledge of office administration, clerical procedures, and record keeping systems
  • Proficient with Microsoft Office Suite with the ability to learn new software
