Soar Autism Center is building a network of interdisciplinary clinics where children with autism and their families receive life-shaping services that support them to thrive. We prioritize early intervention, comprehensive supportive services, and positive, developmentally-appropriate learning that meets the needs of each unique child and family. Specifically, we focus on integrated autism care and a play-based model of ABA therapy based on the principles of the Early Start Denver Model.

Soar is hiring for a full-time Scheduling Manager to lead client and team member scheduling across our Colorado region. This is a unique opportunity to both support the growth of new clinics, and engage in meaningful work that supports our team and clients on day-to-day basis.

Responsibilities

The role is a good fit for a candidate who likes solving complex scheduling puzzles, is highly organized and detail-oriented, is motivated by working with people and supporting their success, and is mission-driven about helping young children with autism spectrum disorder.

Specific responsibilities will include:

Base schedule creation and ownership

  • Create new base schedules for new clients following the procedures and timelines outlined in the Ops Handbook
  • Createe new base schedules for new therapists (RBTs) and sending out following procedures and timelines set
  • Manage ongoing base schedule requests from therapist, clinician, and operation teams including the timely onboarding and offboarding of clients and therapists
  • Refine base schedules on an ongoing basis to optimize client and therapist appointments each week
  • Socialize base schedule changes with clinician teams at each center and work to incorporate input by leading team meetings and following up through written communications with clinician and therapist teams
  • Support with updating Soar’s scheduling system (Central Reach) with base schedule updates on an as needed basis
  • Build strong relationships with all clinical team members to support the implementation of scheduling needs and requests
  • Expectation is for the Senior Scheduling Manager to independently own the end-to-end base schedule creation and upkeep process for 1-3 centers

Evening scheduling

  • Lead daily end of day schedule check-out meeting with Office Managers to develop and implement solutions to next-day scheduling challenges
  • Manage intake of client and therapist communications in afternoons and evenings and update the scheduling system to reflect the latest changes in schedules
  • Develop and execute on a plan to address any remaining gaps in coverage across centers the evening before
  • Ensure coverage needs tracking file is up to date each evening
  • Communicate coverage plan for the following day with rest of scheduling team and clinician team before signing off each evening

Other Operational and Scheduling Support

  • Support clinic operations, on an as needed basis

This role will directly report to the Vice President of Operations, and will also work closely with the rest of the regional scheduling team, each clinic's Office Manager, Partner Clinician, and the rest of the clinician team

Schedule
Mon - Thurs: 12-8 PM MTN
Fri: 9-2 PM MTN
Sun: 5-8 PM MTN

Qualifications

  • Completed a 4-year bachelor’s degree
  • Prefer 3-5+ years of experience in the healthcare provider space, but would consider alternative backgrounds that demonstrate a similar skillset
  • Minimum 1 year of experience in complex scheduling, preferably at an ABA provider
  • Experience with scheduling systems, preferably Central Reach

Additional details

This is a salaried, exempt role with full health, dental, and vision benefits; retirement contribution; and PTO/sick days. Successful employees will have opportunity to grow into larger roles around overseeing scheduling operations in a larger numbers of clinics.
