Description / Position Overview
Senior Administrative Assistant
In this position, you will provide a wide variety of highly responsible and complex secretarial, administrative, and clerical duties in support of the Park Maintenance and Operations division of the Parks, Recreation, and Cultural Services team; coordinate and participate in office functions in support of the goals and objectives of the team and provide information and assistance to the public regarding City and Parks, Recreation and Cultural Services department policies and procedures.
Essential Job Functions - the basic job duties an employee must be able to perform:
- Provide administrative support to the Park Maintenance and Operations Manager, SIMD Administrator, and division supervisors
- Support the fiscal responsibilities of the division by receiving and processing payments, researching payment histories, and collecting outstanding balances
- Assist with division budget tracking duties to include purchasing, allocating expenditures, data entry, and other duties as assigned
- Track, compile, and report division statistics as directed by Park Maintenance and Operations Manager
- Provide support for the Accela and Cartegraph systems for the Park Maintenance Division
- Provide support to the seven boards associated with the Department’s SIMDs (Special Improvement Maintenance District) including taking minutes at the meetings, and managing agendas
- Coordinate critical maintenance services including
- Waste management and Portable Restroom contracts and placements
- Security contracts for opening and closing parks
- Manage incoming phone calls, maintain appointment calendars, and make travel arrangements for Park Maintenance and Operations Manager
- Assist Park Maintenance personnel with special projects as assigned
- Proficiency in using Microsoft Office Suite
- Ability to provide excellent customer service
- Ability to learn and apply pertinent City policies and procedures
- Ability to communicate clearly and concisely, orally and in writing
- Ability to establish and maintain effective working relationships
This position requires a resourceful individual with a high degree of independent initiative, excellent communication and organizational skills, the ability to prioritize and multi-task, and exceptional attention to detail
Successful candidates will have
- Posses a high school diploma, GED or equivalent
- Four years of full-time administrative, secretarial, and/or clerical experience.
One (1) year of the appropriate type and level of experience may be substituted for each required year of post-high school education.
Additional appropriate education may be substituted for the minimum experience requirements.
Ideal candidates will also have
- Accounting and record-keeping experience
- Experience using Accela or similar service request software
- Experience using Cartegraph or similar asset management software

The City of Colorado Springs offers additional compensation depending on the position, area of assignment, and specific job assignments, including shift differential, pay differential, acting or lead, special assignment, hazard pay, longevity, cell phone allowance, uniform allowance, relocation, awards, standby, call out, compensatory time off, tuition, overtime, extra duty, incentive, holiday premium, proficiency, and vacation sell back.
