The Senior Tax Accountant serves as the in-house resource for the Roadrunner finance and operating teams with respect to tax matters, focused primarily on the various state and local tax needs of the organization (sales and use tax, property tax, business licenses, etc.), with a secondary focus on other tax matters. This is a high visibility, hands-on role within a small team, and will provide the successful candidate with an opportunity to contribute to the organization’s development of best practices, standardization of tax policies and procedures, and serve as a valued advisor within the organization.
This is a hybrid role based either out of the Downers Grove or Milwaukee locations.
Responsibilities include the following. Other duties may be assigned:

  • Manage and perform sales and use tax compliance
  • Perform detailed reviews of accounts and transactions for sales and use tax implications; ensure that sales taxes are properly invoiced, and that use tax liabilities are properly identified and accrued for; prepare monthly journal entries and maintain general ledger accounts related to sales and use taxes
  • Organize and maintain all sales tax records; prepare and maintain proper registrations with state taxing authorities; prepare and file all sales and use tax returns and remit taxes due (working with third party service/software provider)
  • Research, analyze, and document positions with respect to sales and use taxation of various transactions including purchases/leases of transportation equipment, sales/leases of transportation equipment, purchases of repair and replacement parts and labor, software/SAAS charges, and other IT related charges
  • Identify opportunities for minimization and recovery of sales taxes
  • Prepare and provide sales tax exemption certificates to vendors as needed; request and maintain sales tax exemption certificates from customers and equipment lessees as needed
  • Maintain a sales and use tax calendar for various filing requirements and deadlines
  • Represent the company in sales and use tax audits, and respond to sales and use tax inquiries from taxing authorities, vendors, contractors, and customers
  • Manage and perform personal property tax compliance
  • Prepare annual personal property tax returns/renditions; review annual assessments; ensure timely payment of taxes due; maintain general ledger accounts for property taxes
  • Maintain a personal property tax calendar for various filing requirements, assessment reviews, and payment due dates
  • Manage and perform secretary of state registrations and business licenses
  • Ensure filing of annual reports and payment of related franchise taxes, either in-house or via third party managed services
  • Ensure compliance with necessary business licenses for the company’s locations, either in-house or via third party managed services
  • Provide sales/use and property tax leadership, serving as a valued resource throughout the organization
  • Maintain and continuously improve sales and use tax processes, including appropriate technology solutions, best practices, policies, and procedures
  • Serve as the sales/use and property tax resource for planning and execution of business initiatives
  • Monitor current sales/use and property tax developments relevant to the organization, and proactively recommend changes to management
  • Manage and leverage consulting relationships with outside legal counsel and tax consultants
  • Provide sales/use and property tax training to relevant finance and AP team members
  • Manage tasks and review work product assigned to accounting and finance staff
  • Support and manage other tax functions for the company:
  • Corporate income taxes – Manage information gathering and workstreams with respect to annual federal and state income tax returns, quarterly estimates, and extensions prepared by outside tax preparers
  • Fixed asset maintenance - Review and maintain fixed assets for income and property tax purposes
  • Income tax provision – Manage information gathering and workstreams with respect to annual income tax provision with external consultants
  • Prepare and file gross receipts tax filings
  • Support and research issues related to miscellaneous taxes, unclaimed property, excise taxes, and 1099 information reporting
  • Unclaimed property projects and compliance

Receives very general guidance with respect to overall objectives; work is usually independent of others; operates within corporate and department policy guidelines using independent judgment in achieving assigned objectives.

  • Education/Experience:
  • Bachelor’s degree in Accounting or Finance required
  • CPA, Master’s Degree in Tax, or other advanced degree or credential preferred
  • Minimum 7-10 years of experience in sales/use and property tax compliance and consulting required, preferably in a corporate tax department or national public accounting firm
  • Significant knowledge of sales and use tax laws, research methods, and establishing best practices required
  • Demonstrated management, analytical, organization, interpersonal, project management, communication, and advanced Microsoft Excel/data analysis skills required
  • Prior experience with transportation and logistics, equipment leasing, or other specialized industry a plus

  • Interact with internal business partners and other company "clients" by providing recommendations on leading practices to minimize risk, improve efficiency or to comply with tax and financial reporting requirements
  • Exhibit a value-added approach to sales and use taxes by providing practical, relevant and cost-effective recommendations which assist management in achieving primary business objectives
  • Experience with AS400, Great Plains, Bloomberg Fixed Assets, and Bloomberg Research a plus
