Job Description
- Arrange travel for the Shared Services leadership team.
- Prepare business leadership team expense report filings in Concur.
- Arrange catering for lunches provided to the team during frequent large meetings.
- Process invoices and aid in budget planning and forecasting. Running monthly spend for Shared Services leadership.
- Develop and foster relationships with executive leadership’s administration assistants.
- Manager Outlook calendars for the Finance Shared Services VP.
- Participate/support Culture Committee – planning, scheduling activities, conducting surveys after the SSO quarterly meeting.
- SWAG administration – ordering, maintaining inventory.
- Keep SSO office space diagram up to date while managing hoteling space reservations.
- Assist SSO team with – PO cleanup GRIR, over payment backlog, other projects that require short term assistance.
- Will include Purchase Requisitions
- Goods Receipts
- Manage/Coordinate/Support SSO HUB documents and content – upload announcements, maintain policy library and review with leaders on annual cadence to ensure proper review and updates by leaders. Maintain updated resource list and master contact list on HUB.
- Answering phones, greeting/referring/assisting visitors, customers, or staff. Mail runs.
Basic & Preferred Qualifications
- Two-year college degree preferred, but not required.
- Three years or more of general administrative experience.
- Strong organizational skills, flexible, and adaptable.
- Skilled in managing processes, analyzing information, and problem solving.
- Ability to communicate in a clear, concise, and effective manner with people at all levels (internally and externally)
- Ability to handle confidential issues with the utmost discretion.
- Self-starter who works well under pressure and with little or no direct supervision/direction.
- Ability to multi-task, perform many tasks at once, prioritize tasks, and take initiative to anticipate and resolve issues.
- Strong communicative skills and ability to work with others at all management levels.
- Proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
- Experience with Concur, SAP, and expense reporting is preferred.
