JOB SUMMARY

At Houston Methodist, the Special Projects Coordinator position is responsible for providing timely coordination and completion of special projects as assigned by management within the department. This position is responsible for specific moderately complex, project-oriented assignments which include leading, coordinating and completing projects related to operational activities with minimal supervision and must be capable of working individually or as part of a team. Additional duties for the Special Projects Coordinator position may require considerable experience, skill and knowledge of organization’s policies and practices, operating a personal computer and utilizing software applications for word processing, presentations and databases. This position must be resourceful in seeking solutions, be pro-active and have the ability to handle multiple projects at one time with extreme attention to detail.

PRIMARY JOB RESPONSIBILITIES

PEOPLE - 25%

  • Partners with department leadership to coordinate various programs and sponsorships which support the growth of the practice, effectively and efficiently preparing special projects associated within the practice. (EF)
  • Works closely with teams to take lead in the projects assigned and complete tasks within timeline provided. Role models healthy work relationships such as mitigation of conflict, leading problem-solving and resolution efforts. (EF)
  • Conducts self in a manner that is congruent with cultural diversity, equity and inclusion principles. Recommends initiatives to improve department scores for employee engagement. (EF)

SERVICE - 30%

  • Completes credentialing within the system, payors, facilities and state organizations. Conducts the credentialing and on-boarding of new physicians, extenders, and mid-levels. (EF)
  • Follows up on action items to ensure completion of projects and assignments, ensuring all deadlines are met. Initiates improvement of department/practice for customer service and/or patient satisfaction and/or department key performance indicators. (EF)
  • Conveys information to management by assembling and summarizing data. Uses a variety of software applications to create/compose both routine and non-routine management level communications and reports. (EF)

QUALITY/SAFETY - 25%

  • Identifies quality measures within the practice and works with management to ensure proper policies and protocols are identified and maintained during all operations. (EF)
  • Participates in department quality improvement processes. Identifies quality measures within the practice and works with management to ensure proper policies and protocols are identified and maintained during all operations. Contributes towards improving department/practice quality and safety scores. (EF)

FINANCE - 10%

  • Exhibits judicious use of department resources to maximize operational budget working with administrator and operations manager. Uses sound judgement and fiscal responsibility, processing and reconciliation of projects, audits, and tasks that increase revenue and promotes healthy finance. (EF)
  • Self-motivated to independently manage time effectively and prioritize daily tasks, minimizing team incidental overtime. Utilizes time efficiently and helps other team members. (EF)

GROWTH/INNOVATION - 10%

  • Offers innovative solutions through participation in performance improvement projects and activities. Follows up on action items to ensure completion of assignments. (EF)
  • Seeks continuous professional development opportunities on topics such as guest relations, patients' rights, and medical issues. Completes and updates the My Development Plan on an on-going basis. Ensures own career discussions occur with appropriate management. (EF)

Qualifications:

EDUCATION REQUIREMENTS

o High School diploma or equivalent education (examples include: GED, verification of homeschool equivalency, partial or full completion of post-secondary education, etc.)

o Bachelor’s degree preferred

EXPERIENCE REQUIREMENTS

o Five years of administrative, clerical support or related experience in a healthcare or related environment
