POSITION SUMMARY
The Specialist provides support for the Chairperson, faculty, and staff of the department and assists the advisors with student matters. The Specialist assists the Chairperson with section setup, enrollments, and clerical support, as needed, and communicates with coordinators of various programs and other student service areas to facilitate the delivery of scheduled coursework and services. The Specialist refers students to other departments and resources, as appropriate, and works on special projects. This Specialist position provides support for the department of Design, Construction, & Trades, and Engineering & Transport Tech, as needed.

ESSENTIAL FUNCTIONS OF THE JOB

Program Support
Assists the Chairperson in coordinating and setting up semester course schedules with faculty and Apprenticeship Coordinator, including the collection of faculty Reassigned Time/Load forms. Provides direct support to the Apprenticeship Coordinator by receiving and processing enrollments for registered apprenticeship partners and related tasks. Maintains working relationships with other student service-related programs, such as Curriculum Management, Office of Academic Affairs, Enrollment Services, Cashier’s Office, etc. Performs administrative duties including scanning and indexing student files in OnBase, answering phones, responding to voicemails and emails, making copies, faxing, organizing, and keeping records for various programs.

Clerical
Assists the Chairperson, faculty, and staff with general clerical duties, including but not limited to: scheduling department meetings, as requested, generating/mailing certificates for students, preparing department/program mass-mailings/emails, purchasing orders – entry and reconciliation, entering instructor assignments, monitoring department email account and phone, generating specialty reports, ordering textbooks, balancing the budget, ordering marketing materials, etc.

OTHER DUTIES & RESPONSIBILITIES
Manages multiple assignments of varying complexity and meets tight timelines with the ability to adapt to the changing needs of the College and business partners.

Attends department, division, and unit meetings on a consistent basis. Hours may include working outside of a normal workweek schedule as needed to meet program needs and workload demands.

PHYSICAL REQUIREMENTS

While performing the duties of this job, the employee regularly exhibits digital dexterity when entering data into a computer. The employee frequently sits for periods of time, stands, and walks. The employee converses verbally or manually with others in person as well as by telephone. Vision demands include close, relatively detailed vision when focusing on a computer screen. The employee occasionally lifts up to 10 pounds.

MINIMUM QUALIFICATIONS
An Associate’s degree in a related field or at least five (5) years of experience in a similar role. Experience in an academic setting is preferred.

State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
