The Talent Operations Coordinator is responsible for tracking data and performing administrative tasks for the Talent Department. The Talent Operations Coordinator is a valuable member of the team and liaison to other departments of Italian Home for Children (IHC). The information entered, tracked, analyzed, and supplied to various members of the Talent Department informs strategy and best practice. The support provided by the Talent Operations Coordinator greatly contributes to the overall success of reaching aggressive recruitment and retention goals. This role is the HRIS expert on the team, teaching others how to utilize the software to achieve goals. The must maintain professionalism and convey “going the extra mile” with key stakeholders.
This is a hybrid position with no required travel. The Talent Operations Coordinator reports to the Senior Director of Talent and works in close collaboration as a support to all members of the Talent Department. The Talent Operations Coordinator also works closely with the Finance Department, particularly payroll.

Responsibilities
- Manage data entry, maintain employee information, and coordinate timely correspondence regarding leaves of absence, workers compensation, and other human resource matters
- Manage all leaves of absence and workers compensation including entering payroll information, coordinating with Director and/or agency attorney, and partnering with insurance carrier
- Coordinate all benefits enrollment and discharge as well as field questions from employees
- Serve as a partner to the Finance Team providing information and reconciling payroll data
- Create various forms, reports, and correspondence at the request of others in Talent Department
- Ensure all members of leadership are supplying all relevant data to HRIS
- Participate in trainings, utilize help guides, webinars, and videos from HRIS to gain deeper knowledge, and serve as agency HRIS expert
- Produce analyses, reports, and data sets with high frequency
- Attend and assist with planning employee appreciation events such as room setup, technology set up, ordering food, and creating or obtaining employee appreciation certificates/checks
- Respond to employee inquiries while conveying a professional manner along with a willingness to help; provide reliable, accurate, and timely responses to questions
- Discover and maintain operational efficiencies for Talent Department
- Maintain all office supplies and complete orders as needed
- Manage process, relationship, and completion of background checks for the agency
- Serve as front desk receptionist 1-2 days weekly as part of rotation with 2-3 other individuals from other departments
- Assume other responsibilities as assigned by the Senior Director of Talent
- Bachelor’s Degree preferred
- 1-3 years of administrative experience, preferably in nonprofit organization and human resources
- Proficiency with HRIS strongly preferred
- Proficiency with Microsoft Office required
- Ability to advance knowledge on HRIS and build to a point of effectively training other staff on using a HRIS, including in a group setting
- Ability to analyze and organize data efficiently with attention to detail and accuracy is required
- Ability to work independently and take initiative
- Excellent oral communication, interpersonal, and writing skills
- Ability to handle multiple tasks and projects simultaneously
- Commitment to confidentiality in all matters related to Italian Home for Children business, development, and fundraising practices
- Ability to function in a team environment
- Demonstrate sensitivity and appreciation for diverse viewpoints and different communication styles in a politically and culturally diverse environment
- Flexible thinking and willingness to support other people and projects
- Willing to work occasional evenings and weekends.
- Ability to lift and carry 25 lbs. (event supplies).
