Position Summary:
FAU Harbor Branch, located in Ft. Pierce, is a research institute focusing on marine science and oceanography. This location has over 200 scientists, staff and students who work and study at the site.
Florida Atlantic University is seeking an Assistant to FAU HBOI Executive Leadership Team - Fort Pierce, FL.
The Assistant to the Harbor Branch Oceanographic Institute Executive Leadership Team (HBOI ELT) serves as point of contact for the team. The Assistant provides strong and reliable support to all executive leadership operations, including a high level of confidentiality, and maintains and/or creates procedures/communications for effective operational flow.
The HBOI ELT team is composed of the executive staff who routinely work in the executive suite of HBOI and includes the Executive Director, Associate Executive Director of Operations, Assistant Vice President for Institutional Advancement, Associate Director for Research, and the Associate Director for Education. As the Associate Director for Research and the Associate Director for Education have other professorial duties, only their activities that are in service of the administration and management of HBOI will be covered by the Assistant to the HBOI ELT.
Summary of responsibilities include:

Coordinate the day-to-day activities of the office as the first point of contact in the Executive Suite, by telephone and email.

Provide direct administrative support as needed, which may include scheduling appointments, meetings, and events; booking travel; issues of document management including locating documents as requested; and mailing and shipping packages.

Provide support as needed for meetings, events, and other activities.

Process expense reports and travel authorizations.

Process team’s purchase orders/supplier invoices in Workday.

Maintain appearance and efficacy of common areas.

Ensure office equipment is maintained.

Identify and fulfill office supply needs.

Coordinate catering for ELT meetings and events as needed.

Additional job-related duties as assigned.

Minimum Qualifications:
Bachelor's degree from an accredited institution in an appropriate area of specialization; or an Associate's degree from an accredited institution in an appropriate area of specialization; or a High School Diploma and five years of appropriate experience required.
Preferred Skills:
Experience in office management and/or administration.
Experience with coordinating meetings or events.
Experience with Workday.
Salary:
$38,000 - $42,000 per year.
