Job Title: Title Assistant
Department: Title Department – Rocklin Plant
Reports To: Manager Plant Operations
FLSA Status: Non-Exempt
Summary:
Administrative support and back-up to Title Department assigned staff. Collects and prepares information for the Title Officer in opening and closing of orders.
Essential Duties and Responsibilities: Other duties may be assigned.
Under the supervision of the Title Officer:
- Opens orders in a complete, accurate and timely manner, thereby guaranteeing the proper distribution of Preliminary Title Reports to our escrow clients, lenders, brokers or their agents.
- Respond to escrow requests – copies of exemptions, legal and vesting, letter of indemnity, updates and tax print outs.
- Date down title file for recording including: taxes, property and name run, assist recording desk to resolve any possible recording issues.
- Preliminary review of pre-closing packages from escrow
- Clearing Statement of Identities (S of I’s)
- Update title reports
- Processing outgoing mail
- Tracking files from storage
- Linking Preliminary Title Reports
Supervisory Responsibilities:
No supervisory responsibilities in this position.
Competency Standards:
- Basic knowledge of escrow and title terminology
- Ability to multi-task and learn new systems and processes
- Demonstrates understanding of the title application software
- Must have the ability to resolve discrepancies, and organize/prioritize work flow
- he ability to work with branches and customers using good telephone etiquette and personal communication skills
- Must have the ability to communicate and to resolve problems, when possible, in a timely manner
- Stressful situations often arise in the Title/Escrow environment based upon the volume of orders the unit is processing. It is your responsibility to assess the situation and provide solutions for discussion to fellow co-workers and management
Education and/or Experience:
High School Diploma or General Education Degree (GED) – entry level position.

The physical demands described there are representative of those that must be met by an employee to successfully perform the essential functions of this job.
While performing the duties of this job, the employee is regularly required to sit at a desk for long periods of time, twist to reach equipment surrounding desk, and the ability to use telephone and operate office equipment.
