Summary/Objective

The Finance Secretary will support our Accounting, Finance and Sales departments in the preparation of car deal packages.

Essential Functions

· Working closely with Finance Managers and the accounting office to ensure prompt preparation and processing of all deals

· Assist in and/or prepare bank finance and title documents

· Ensuring all required forms and documents are accurately completed

· Verify accuracy of customer and vehicle information on contracts

· Fax, email, and/or mail documents as needed for funding and record retention

· Processes all new vehicles for registration in the state in which they will be titled.

· Prepares tax and title documents

· Prepares payoff checks for new vehicles and trade-ins.

· Bills out all dealer trades and prepares Certificates of Origin.

· Compiles and maintains a complete list of all outstanding title work. Reports to management on the status of any missing or problem titles and provides a current list of outstanding titles to the comptroller at the end of month.

· Signs over titles for all wholesalers who have paid in full. Prepares a monthly report to management of any funds not collected from wholesalers due to missing or incomplete title work.

· Prepares stock cards for new vehicles.

· Posts vehicle sales and purchases.

· Processes/registers all vehicle warranties and extended service contracts, maintaining a log of all contracts processed and mailed.

· Processes all vehicle warranty and gap cancellations. Refunds to customer, when applicable.

· Maintains a professional appearance and a neat work area.

· Other tasks as assigned.

Work Environment

· This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

· This is a largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.

Position Type and Expected Hours of Work

This is a full-time position. Typical days and hours of work are Monday through Friday, 8 a.m. to 5 p.m. with an hour lunch break.

No travel is expected for this position

Required Education and Experience

· High school diploma or equivalent.

· Two to three years’ previous experience.
