Background/IRC Summary:

Since 1999, the IRC has developed partnerships with New York City public schools, community-based organizations and local colleges and universities to support the positive development of refugee youth and their communities in New York City. The Education and Learning Program provides year-round programming working directly with refugee youth, their parents and families, and their schools.

Job Overview/Summary:

The Youth Program Specialist supports the smooth operation of all IRC in New York Youth Programs, including the Newcomer Youth Summer Academy, Youth Tutoring, Leaders in Training and School Success Coaching. This includes supporting procurement of supplies, management of Google Suite accounts, coordinating student transportation, meals, field trips, recreational activities, special events and liaising with partners. They work closely with colleagues to ensure that the Youth Program goals and objectives are accomplished using a holistic, collaborative approach in partnership with school staff, partner organizations, parents, and newcomer youth themselves. This position reports to the Youth Program Coordinator.

Major Responsibilities:

Client Information Management:

  • Review all new client intakes to verify eligibility
  • Add client information to IRC database, ETO
  • Add eligible students to New York State database, BIN
  • Collect, save and organize Refugee School Impact Program application for services and proof of eligibility from participating families
  • Conduct new student intakes, as needed

General Responsibilities:

  • Support Metro Card procurement, distribution, and tracking
  • Provide technological support to instructional staff and students, including managing and securing all IRC devices as well as liaising with school staff regarding Department of Education devices (smartboards, projectors, printers, copiers etc.)
  • Conduct inventory of supplies, support procurement of materials
  • Prepare purchase vouchers and process receipts
  • Assist with NYC DOE student school enrollments for recently arrived families

Newcomer Youth Summer Academy and Mini-Academies:

  • Conduct inventory of NYSA supplies, support procurement of Academy materials pre-program
  • Assist with move-in to and move-out of Academy location prior to the start of the program
  • Support logistics of Whole School Community Events, field trips, graduation and donor visits; including staff communications, coordination, purchasing and travel
  • Support student arrival and dismissal
  • Support with all student meals

School Year Programming:

  • Support onboarding logistics for volunteer Youth Tutoring staff, including setup of Google Suite accounts
  • Support student arrival and dismissal
  • Update and create youth education department promotional materials, including securing accurate translations
  • Manage communications to clients, including program announcements and newsletters.
  • Support planning for college tours and career days for the Leaders in Training program

Job Requirements:

  • High school diploma required; Bachelor’s degree in education, business/logistics, or related field preferred
  • A minimum of 1-2 years’ experience coordinating operations/logistics, preferably in a youth education setting
  • Experience working with refugee and/or immigrant populations highly desirable
  • Experience working with the New York City Public School system highly desirable
  • Demonstrated ability to promote an organizational culture that reflects IRC’s core values of service, accountability, integrity, and equality. Ability to lead in a way that recognizes that IRC’s work is best accomplished through the true collaboration of individuals from many cultures with a great variety of skills and perspectives.
  • Excellent written, verbal, and interpersonal communication skills
  • Attentive to detail
  • Fluent in MS Office applications, especially MS Excel
  • Ability to work well with people of diverse cultural backgrounds
  • Ability and willingness to work Saturdays and occasional evenings
  • Ability to work independently and as part of a team
  • Organized, responsible, and flexible: able to maintain responsibility for multiple tasks in the context of a diverse, fast-paced work environment
  • Fluency in English required; fluency in a second language highly desired (such as: Dari, Pashto, Ukrainian, Russian, Spanish, French)
