Position Summary
Assist the Academic Fieldwork Coordinator (AFC) in the coordination of all Level I and Level II Fieldwork experiences for OT students as detailed below.

Generally, the employee is expected to be doing desk work and classroom meetings in an academic setting. Occasional local travel to clinical sites and within state travel to state conferences.
Responsibilities
Academic Program and Fieldwork Administration
- Assists in the implementation of and compliance with fieldwork accreditation standards as defined by the Council for Accreditation of Occupational Therapy Education (ACOTE).
- Assists in collecting, compiling, and reporting fieldwork data and information required for program evaluation and curriculum decisions.
- Works with the AFC to coordinate fieldwork-related tasks in the program including supervision of work study students as assigned.
- Works with the AFC, OT Program Administrator and Department Chair as needed to ensure the timely completion of all work processes.
- Assists AFC to represent the OT program at the annual OTAC conference, and participates in the California Fieldwork Consortium, hosting annual meetings as scheduled.
- Works with the AFC to review and revise the OT Fieldwork Manual annually and ensures that the latest copy is given to the students and the fieldwork sites.
- Updates FW forms and communication templates as needed.
Fieldwork Site Development and Tracking
- Assists in recruiting fieldwork sites that are congruent with the curricular themes and design of the program. Contacts sites and makes reservations for placements.
- Initiates, facilitates, tracks and renews contractual agreements for occupational therapy as directed by the AFC or Department Chair and as needed for ACOTE compliance.
- Assists with the collection, verification and documentation of all clinical site records and requirements such as Affiliation Agreements, Preceptor Profiles and Licensure verification and Certificates of Insurance, and student onboarding requirements.
- Maintains site and preceptor records in healthcare education management software, and maintains up-to-date electronic databases and paper clinical site files.
- Assists in ensuring quality of fieldwork sites through review of student evaluations of sites and site visits.
- Makes students evaluations of sites available to review by other students (e.g. post to Moodle).
Student Preparation for Fieldwork
- Provides students with information on the specific settings and expectations.
- Ensures students meet university and site-specific requirements for participation in fieldwork experiences including monitoring of health information, HIPAA and other regulations, and monitoring of students health records software/service (e.g. CastleBranch).
- Maintains student records in healthcare education management software, and maintains up-to-date electronic databases and paper student files.
- Assists in preparation of students for fieldwork experience through individual and group meetings, including the new student orientation.
Fieldwork Placement Process
- In collaboration with the AFC, recruits, and reserves Level I & Level II Fieldwork sites.
- Works with AFC and faculty to assign students to Level I and Level II Fieldwork placements.
- Confirms Level I and Level II Fieldwork placements with students, site coordinators and clinical instructors/preceptors.
- Enters and schedules Level II FW placements and evaluations in healthcare education management software.
- Works with faculty to ensure assessment and implementation of Level I Fieldwork practicum experiences.
- Facilitates onboarding of student records to meet site specific requirements before the start of FW and provides letters of attestation as needed.
- Tracks and ensures submission of all Level I and Level II Fieldwork evaluations.
- Perform other duties as assigned.
Required Qualifications
- Bachelors degree or equivalent
- Two years work experience in an automated office or healthcare environment
- Demonstrates critical thinking skills in problem solving and decision-making.
- Demonstrates timely and diplomatic interactions with all students, faculty, staff, the public and the medical community
- Uses effective written and oral communication skills taking into consideration body language, filters, listening, paraphrasing, and questions with customers of diverse ethnic and cultural backgrounds
- Demonstrates ability to work collaboratively with students, faculty, staff, and other Program and University faculty and colleagues
- Excellent customer service ability and attention to detail
- Handles confidential information with discretion
- Ability to effectively prioritize, organize time and resources in the completion of multiple tasks
- Two years of work experience in an office or health care setting
- Proficient in Microsoft Office Suite, and other relevant software. Must be able to perform basic calculations.
- Valid California state drivers license
Preferred Qualifications
- Experience in health care/health education
