Your Specific Responsibilities:
This position serves in the Accounts Payable section of the Finance and Accounting Office of the Florida Department of Health in Pasco County. This position is responsible for processing invoices for the Department of Health in Pasco County received from various sources. This position performs duties under the general supervision of the Finance and Accounting Supervisor.
Process invoices received in the Fiscal office for payment, ensuring all invoices are processed timely in compliance with F.S. 215.422 and DOH Finance and Accounting Internal Operating Procedure IOP 56-23-17. Input invoices for processing using My Florida Market Place (MFMP) and the Florida Accounting Information Resource (FLAIR) System. Ensure all required back up documentation is received prior to processing invoices for payment. At the end of the day all entries are correct utilizing the Daily Voucher Summary report. Contact vendors as needed to correct invoices or payment history issues.
Reviews and prepares the fuel reconciliation and WEX reports with the receipts for the Accountant I to enter TR58 of adjusting entries.
Serves as Accountant Approver on P-card purchases ensuring transactions are processed within 10 days after transactions are recorded in WORKS in compliance with IOP 56-44-16. Serves as backup to distributes payroll warrants as needed. Serves as the backup for voucher printing, recording and send to auditor as needed.
Works closely with the Contract Manager to monitor metrics and requirements in contracts established between DOH-Pasco and 3rd parties ensuring contract requirements are met and vendors remain in compliance with contract.
Services as backup for reconciliation reports, WIC & Health Start budget reports. Prepare Hernando, CARE and CORE Contract invoices.
Prepare Bank of America report end of the year and maintain monthly record.
Responsible uploading assets to the AMS system. Conducts quarterly cash count and submits reports to Supervisor.
Responsible for the monitoring of encumbrance reports & balances to ensure purchases do not exceed the total order amount.
Back up with ensuring accurate processing vendor checks, which includes, but not limited to, logging, verifying, scanning, and mailing the vendor checks when needed.
Responsible for entering deposits TR30s and “T” account.
Acts as Deputy Registrar for DOH-Pasco (Back up for the day-to-day operations of the New Port Richey and Dade City Vital Statistics offices.
Filing, scanning, and other duties as needed.
Required Knowledge, Skills, and Abilities:
Knowledge of office procedures and practices; Skill in reading, understanding, and applying applicable rules, regulations, policies, and procedures; Skill in listening to and understanding the needs of both internal and external customers; Ability to communicate effectively orally and in writing; Knowledge of basic mathematics and the ability to perform basic calculations.
