Essential Responsibilities:
- Review staff time entries to ensure they comply with firm standards.
- Work closely with Partners and Managers to edit, finalize, and distribute client
billing.
- Effectively communicate with clients on billing matters ensuring the highest quality
of customer service.
- Set-up, maintain, and update client databases.
- Accounts Receivable, statements and collections.
- Accounts Payable.
- Assist with all other day-to-day client billing functions as directed.
- Serve as backup support for payroll.
- Bookkeeping – Quickbooks.
- Compile and process client mailings and email communications.
- Serve as back-up support for Partners, CPA/Accounting Staff and other
Administrative Staff as needed.
- New employee computer, software & desk set-up.
- Work with phone system provider to ensure systems work properly
- Vendor management.
- Equipment inventory and ordering.
- Work with IT service provider to ensure IT systems work properly
- Act as liaison for all IT communication between staff and IT service provider.
- Work with landlord on Building management & maintenance communications.
- Monitor and Maintain office and supplies at appropriate level.
- Assist admin team in event planning.
- Other duties as assigned.
Administrative duties will increase during tax season. The successful candidate will have an “all-hands-on-deck” mentality during the busy season with a willingness to learn and successfully perform additional administrative tasks to ensure a successful tax season.
What You’ll Bring:
- Bachelor’s Degree strongly preferred.
- Quikcbooks experience
- CPA firm or related client-focused billing experience a plus.
- 2+ years of office manager duties preferred.
- Strong written, editorial, and grammatical skills required.
- Professional and effective oral communication skills and interpersonal abilities.
- Knowledge of Microsoft Office programs required.
- Ability to work in a team environment.
- Ability to multi-task and effectively prioritize responsibilities.
- Demonstrated success in navigating customer relationship issues and developing
strong client relationships.
- Integrity, accountability, and confidentiality.
- Excellent analytical, organizational skills, and attention to detail.
- Positive attitude, strong work ethic, and collaborative spirit.
Job Type: Full-time
Pay: $29.00 - $31.00 per hour
