Accounts Receivable Clerk / Accounting Assistant
This position is responsible for performing clerical functions and accounting duties to support the Financial Controller in day-to-day operations of our facilities.
Duties & Responsibilities:
- Assist in maintaining accounting files in accordance with established systems - including both physical and digital copies, as needed.
- Enter daily deposits, reconcile daily transactions, and identify discrepancies
- Monitor refund processes, track medical devices orders/returns to assist in calculating total cost of goods for monthly reports.
- Enter financial data and transactions into specified internal databases/systems, as instructed.
- Update patient and payment logs and other financial systems, as needed.
- Export monthly reports and assemble supporting documentation, as needed.
- Prepare bank deposits and cash receipts summaries, including running bank or office errands, as needed.
- Sort and distribute incoming correspondence - physical mail and email, as requested.
- Scan/send documents to appropriate accounting systems and computer systems.
- Assist in medical and office supply ordering, as needed.
- Assist in processing payroll, as needed or requested.
- Assist in credentialing and HR functions, as needed or requested.
- Promote positive working relations to meet company goals and objectives.
- Maintain a well-groomed appearance and hold a high level of professionalism at all times while interacting with physicians, staff, patients and visitors.
- Follow all company policies & procedures and practice patient confidentiality/HIPAA at all times.
- Perform other related clerical/administrative tasks, as requested or directed.
Knowledge & Skills:
- Knowledge of basic bookkeeping procedures and familiarity with finance regulations
- Excellent oral & written communication and customer service skills
- Great organizational skills
- Efficient and accurate data-entry skills
- High attention to detail and ability to spot numerical errors
Requirements:
- Education: Bachelor’s Degree in Accounting, Finance or related field required.
- Experience: 2-3+ years of direct working experience as a Staff Accountant, Bookkeeper, or Accounting Assistant required; Experience working in the medical industry, highly preferred.
- Must have hands-on experience with MS Excel and accounting softwares (e.g. QuickBooks)
- Must have a professional appearance and a pleasant, articulate phone voice.
- Must be able to multitask in a fast-paced, collaborative team environment, as well as independently with minimal supervision.
