Position Summary:

The Heersink School of Medicine (HSOM) is seeking to hire an Administrative Associate as an experienced, highly motivated administrative professional in the Office for Diversity and Inclusion Student Affairs for Heersink School of Medicine. The Administrative Associate will provide support for diversity and inclusion activities in concert with Medical Education. Successful candidates should be self-starters with internal UAB knowledge who are ready to hit the ground running overseeing administrative tasks. Must be willing to support a robust, professional learning environment inclusive to all. The Administrative Associate will report to the Assistant Dean for Medical Student Diversity and Inclusion and work in a dynamic partnership with two key Program Managers within ODI-SA. Applicants should have demonstrated interpersonal skills and able to support students in a caring, safe, and inclusive environment. Serious applicants will need to exhibit effective communication skills, both written and verbal as well have a proven track record of relationship building with students.

Duties and Responsibilities:

  • Provide administrative support for diversity and inclusion activities under the leadership of the Assistant Dean for Diversity and Inclusion and in concert with Medical Education and HSOM mission.
  • Will serve as the face of ODI-SA, will be the first point of contact for all students, staff, faculty and guests; will create a welcoming and safe environment for all, in person, over the phone, and via electronic communication.
  • Manage calendar for Assistant Dean of ODI-SA.
  • Participate in student event planning and execution with ODI-SA Staff.
  • Assist with student programming and recruitment initiatives as part of the team to ensure full support of professional medical students and prospects.
  • Coordinates programmatic functions and/or special assignments as requested.
  • Interfaces with internal and external constituencies; maintains and processes vendor payments and contract agreements in a timely and accurate manner.
  • Reconciles P Card purchases and reimbursements.
  • Keep up to date records on various electronic folders and documents for easy accessibility.
  • Will communicate programming and pathway programs to students and admits.
  • Will serve as a valued contributor to SHPEP, Summer Health Professions Education Program, and be the first point of contact for administrative, communication and outreach throughout the year.
  • Organize SHPEP informational sessions and participate in SHPEP activities as needed in conjunction with the SHPEP Leadership Team.
  • Spearhead needed SHPEP communication updates, and process all incoming SHPEP students via Oracle.
  • Act in a caring and courteous manner; use positive interpersonal skills to alleviate concerns and frustrations of students, and provide assistance to students in a timely manner; acts always in a professional and confidential manner with respect to all information and records.
  • Will communicate effectively and interact with people from every socioeconomic, cultural, and educational background.
  • Perform other duties as assigned

Salary Range: $18.35 - $28.84


Qualifications

Bachelor's degree in a related field and one (1) year of related experience required or an equivalent combination of relevant education and/or experience.
