Administrative Assistant Job at Cease Fire Productions LLC
This position is responsible for providing overall administrative support to clients, team members and vendors while organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency.
Job Frequency: 5 to 10 hours a week.
Duties and Responsibilities
- Respond to inquiries, including phone calls, emails, social media direct messages, and inquiries from wedding and event websites.
- Communicate with clients, team members and vendors.
- Manage and organize company files and documents
- Orders supplies as needed
- Provide administrative support during CFP promotional events (Meet & Greets, Engagement Party, etc)
- Assistant in scheduling consultations with clients and event consultant for new bookings and inquiries.
- Provide follow-up communication to clients and vendors.
- Create, modify, and/or send company documents which include event invoices, insurance information etc. to clients, team members and/or vendors.
- Serve as liaison between event talent, clients and/or vendors on event-related matters as needed
- Data Entry – Entering client and vendor information in company CRM.
- Completing any additional administrative task required for proper event execution
- Create and update meeting agendas and record discussions.
- Serve as Executive Assistant to the owner.
Requirements
- Have valid driver's license
- 18 years old or older
- High School Diploma or equivalent
- Strong organizational and time management skills
- Excellent communication skills
- Positive attitude and loves working with people
- Proactive and takes initiative: doesn’t just find problems, but solutions
- Self-starter and ability to execute tasks to completion with little supervision
- Able to manage multiple projects and assignments with a strong attention to detail
- Proficient with the following: Microsoft Suite, Creating PDFs, email, Google Apps(Google Docs, Google Calendar, Google Sheets) and Mobile Apps
Preferred But Not Required
- Experience in the event or wedding industry.
- Passion for special events and hospitality.
- Sales experience.
Job Type: Part-time
Pay: $18.50 - $23.50 per hour
