The administrative assistant will provide support to various directors, managers, employees at, and visitors by handling various tasks that ensure all interactions between the organization and others are positive and productive. Is responsible of ensuring that the departments assigned has the materials and services needed to support the site’s agenda and people development.
Job Requirements
- Handle office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies
- Use computers to generate reports, transcribe minutes from meetings, create presentations, and conduct product/ service research, and translate records when requested
- Participate in teams assigned to improve and monitor safety, ergonomics, quality, people engagement or purchasing systems
- Review and manage records in the local document system to ensure their on-time update and approval
- Provide real-time scheduling support by booking appointments and preventing conflicts
- Make travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations
- Greet and assist visitors
- Maintain polite and professional communication via phone, e-mail, and mail
- Anticipate the needs of others
- Excellent interpersonal skills that promote engagement and teamwork
Basic Qualifications
- Bachelor’s degree in Office Systems Administration, preferred
- Fluency in English and Spanish (Read/Write) is required
- Certified bilingual translator (English and Spanish), preferred
- At least 3 years of experience providing administrative support to a Manager or above
- At least 3 years of managing complex activity logistics such as regulatory inspections, conferences or trainings
Additional Preferences
- Proficient in MS Office and general computer skills
- Teamwork and customer service oriented
- Ability to handle multiple tasks with minimum supervision and interact with people at different levels
- Sound judgment
- Able to support business outside regular business hours, if needed
