Administrative Assistant Job at Hutson Gobble LLC
Webster Groves Accounting firm is seeking a full-time front office administrator. This position will provide administrative and secretarial support for the firm and assisting partners with administrative responsibilities. In addition to answering a multi-phone system, typing, filing and coordinating calendars using Outlook this position will be dealing with a diverse group of external clients and visitors as well as working with highly confidential and sensitive information.
Primary Duties and Responsibilities:
Client Service:
- Answer, screen and transfer inbound calls
- Maintain client and project management system
- Coordinate the receipt of client information and prepare digital tax files for use by professional staff
- Coordinate E-filing services and maintain related forms
- Responsible for the maintenance of client and company files
- Assembly of tax returns and other client deliverables including invoicing and updating systems as necessary
- Maintain electronic communications
Office Management:
- General clerical duties including copying, faxing, scanning and mailings
- Maintain electronic (virtual) filing system
- Coordinate scheduling of meetings and maintain information in Outlook
- Maintain and order all supplies for the company
- Coordinate all mailings including incoming mail, courier services, overnight mailings, certified mailings, and bulk mail distributions
- Travel to post office as necessary
Other:
- Pull internal reports for management team and update as needed
- Create reports and agendas for meetings and presentations as directed by professional staff
- Assist with special projects including the development of in-house training, process improvement and documentation, and other projects as requested by managers and partners
- Work closely with partners to build long-term relationships with clients
Experience & Qualifications:
- Polished and professional in personal appearance and presentation
- Excellent interpersonal and client service skills
- Highly responsible individual who takes ownership and delivers on commitments
- Ability to prioritize tasks and work on multiple assignments
- Ability to work both independently and as part of a team with professionals at all levels
- Strong organizational skills, attention to detail, and problem solving ability
- Intermediate to advanced software skills with Microsoft Office Suite and other technology platforms
- CPA firm experience is preferred, but not required
