About the Position
The Court Administration Assistant provides complex, journey level administrative support in order to achieve the department’s strategic goals and objectives, as well as provides the support necessary to fulfill legally mandated activities.

POSITION QUALIFICATIONS

Education:
- High school diploma or GED
Experience:
- Two (2) years of general clerical or administrative experience
OR
Combined education and experience qualifications:
- Post-secondary education may substitute for the experience requirement on a year-for-year basis
Our Preferred Candidate has:
- Experience working with contractors and vendors, and/or working knowledge of languages and their origins, and/or entry level working knowledge of basic accounting and statistics.
Knowledge, skills, and abilities:
Knowledge of:
- Court policies and procedures, legal terminology, customer service standards and procedures.
- Superior Court and Justice Courts procedures.
- Case-flow management.
- Purpose of the County Attorney, Public Defender, Victim Advocate, Adult and Juvenile Probation, Superior Court, and Justice Courts.
Skill in:
- Computer software such as iCIS, MS Office software such as Outlook, One Note, SharePoint, and Word.
- Advanced skills working in Microsoft Excel.
- Effective written and verbal communication.
- Providing excellent customer service.
- The preparation of statistical and accounting reports.
Ability to:
- Multitask and cope with high volume and a time critical work environment.
- Establish and maintain positive working relationships with others.
- Understand and accurately brief oral and written instructions.
- Make sound decisions in accordance with regulations, policies, and procedures.
- Work independently with little supervision.
ESSENTIAL JOB TASKS
(This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.
- Schedules staff interpreters and contract interpreters for events.
- Prepares daily schedules and posts electronically for the unit.
- Conducts inventory of department supplies and interpreting equipment.
- Assists interpreters to allow for smooth operations.
- Research languages.
- Collaborates with Procurement to identify and process contract interpreters of lesser used or rare languages.
- Processes invoices of contract vendors, including verifying services provided and accuracy of invoices in compliance with contracts and court/county accounting policies.
- Coordinates travel for out-of-state vendors.
- Works in and creates Excel spreadsheets.
- Processes and distributes incoming mail.
- Answers phones for the department.
- Responds to inquiries from public, judicial and court staff, attorneys, service providers and contractors.
- Collect various unit statistics and enters data on appropriate spreadsheets and collection tools.
- Orders supplies.
- Assist supervisors with various special projects.
- Other duties as assigned.
Working conditions
:
While performing the duties of this job, the employee is regularly required to speak clearly and hear; see details of objects that are less than a few feet away; sit for long periods of time; stand, walk, use hands to finger handle or feel; reach with hands and arms; and occasionally push, pull or lift up to 20 pounds.
