Position Title: Administrative Assistant

Location: Reno, NV

Summary

The Nevada State Board of Medical Examiners (Board) is searching for an Administrative Assistant for our Reno, NV office. This position is responsible for performing administrative support functions for the Board’s Investigations Division under direct supervision. The Board is looking for candidates that can provide excellent customer service while working in a fast-paced environment. Candidates need to be detail orientated and possess strong interpersonal skills.

This position is eligible for excellent employee benefits, including:

The salary range for this position is $37,000 to $43,000 on the Employer Paid Retirement schedule.

Assigned Responsibilities

  • Perform administrative support functions, such as data entry, as required on a daily basis;
  • Receive incoming calls from a variety of individuals, including but not limited to Board members, respondents, physicians, attorneys, other Board staff, other government agencies, and citizens. Assist and advise them as directed, and/or refer them to the appropriate staff member, as appropriate;
  • Process incoming mail and prepare outgoing mail, as necessary;
  • Scan and forward correspondence relating to self-reports from licensees;
  • Maintain inventory of and requisition office supplies for the Investigations Division;
  • Provide administrative support prior to, during, and after quarterly Investigative Committee (IC) meetings, including but not limiting scanning, organizing, and uploading files, preparing agendas and other IC documents utilizing Excel, Word, and a professional PDF program, taking minutes during IC meetings, updating licensing database, and preparing, scanning, uploading, and mailing meeting correspondence;
  • Assist in the preparation of Investigations Division reports;
  • Maintain multiple Investigations Division logs and spreadsheets;
  • Manage records for the Investigation Division;
  • Other specialized duties as directed.

Knowledge, Skills and Abilities

  • Ability to maintain confidentiality of information, which includes familiarity with the Board's licensing and disciplinary software program to prevent distribution of any inaccurate information which could harm the reputation of any licensee of the Board;
  • Ability to work accurately and rapidly with names, numbers, codes, and symbols;
  • Ability to summarize complaints accurately and concisely;
  • Ability to work independently;
  • Ability to consistently meet deadlines;
  • Ability to plan, organize, and be responsible for scheduling multiple meetings;
  • Knowledge of and ability to utilize computer applications, including high proficiency in Outlook, Excel, and Word;
  • Ability to interpret written and oral instructions;
  • Ability to learn and apply established regulations and procedures;
  • Ability to communicate effectively;
  • Ability to maintain a pleasant demeanor on the telephone and/or in-person with a variety of individuals, including but not limited to Board members, respondents, physicians, attorneys, other Board staff, representatives of other government agencies, and citizens.

Education, Training and Experience

  • At least two (2) years of clerical experience, including extensive experience in Outlook, Excel, and Word after graduation from high school.
  • Knowledge of medical terminology is preferred but not required.
