  • Demonstrated discretion and confidentiality in handling sensitive issues and information.
  • Ability to gather, coordinate, and compile data as needed for special projects.
  • Proficient in Microsoft Office software, including Teams, Excel, Word, Outlook, and PowerPoint.
  • Ability to work independently and as part of a team.
  • Experience in basic office budgeting, purchasing, travel arrangements, and processing travel reimbursements.



Preferred Qualifications
  • Experience working at a college or university.
  • Knowledge of Texas State University’s organizational structure.
  • Knowledge of Texas State University policies and procedures.
  • Knowledge of budgetary functions in SAP.
  • Knowledge of general human resources principles and practices.
  • Proficiency in Adobe Sign software.
  • Experience working in Concur.
  • Bachelor’s Degree.


Job Description
The Administrative Assistant III will be responsible for providing direct administrative support to the Director, Division of Student Success Business Operations and the Student Success Technology Services department. This position will work collaboratively with colleagues to provide additional support to the Office of the Vice President for Student Success.

Job Duties
Provide high-level administrative support to the Director, Division of Student Success Business Operations and Director, Student Success Technology Services.

Support to include:
  • Maintain multiple calendars.
  • Complete basic financial reports and prepare budget transfers.
  • Maintain accurate and up-to-date records, files, and databases.
  • Prepare key and work order maintenance requests through the university’s work order system.
  • Use multiple software applications such as Microsoft Office, SAP, Qualtrics, Concur, Adobe, Zoom, and Teams.


Serve as general hiring manager for Business Operations and SSTech areas, assist with human resource functions, and ensure compliance and onboarding occurs correctly.

Specific job duties to include:
  • Create positions, reclassifications, and new hires in PeopleAdmin.
  • Create positions for graduate students and student workers in Handshake.
  • Scheduling and completing interviews.
  • Submitting hiring and onboarding paperwork including Personnel Change Requests (PCRs).
  • Obtaining university credentials and access to university sites for new hires.

Monitor the Student Success Technology Services work ticket system.
Support and monitoring to include:
  • Closing out work tickets
  • Deploying techs in a timely manner
  • Providing follow-up on outstanding work tickets
  • And scheduling inquiries or requests for general information
  • Assist in technology inventory as needed.
  • Assist in preparation and distribution documents including agendas, budget reports, financial summaries, presentations, meeting materials and other documents.
  • Coordinate, prepare, proofread, and track documents.

Provide general office support.
Job duties will include:
  • Greet visitors to the Office of the Vice President for Student Success
  • Answer phone calls and general questions
  • Arrange travel and prepare related expense reports
  • Schedule meetings and room reservations
  • Serve as Student Success Technology Services time administrator.
  • Liaise with other departments and stakeholders as required
  • Supervise and mentor student workers.
  • Work independently to coordinate, gather information, and compile data as needed for special projects.
  • Perform other duties as assigned.
