Overview
The Vermont Agriculture and Environmental Laboratory (VAEL) seeks a motivated and detail-oriented person to work full-time in our modern state-of-the art facility in idyllic Randolph Center, Vermont. The successful candidate will work closely with a team of chemists and microbiologists involved in a wide array of testing programs that directly support Vermont's Agriculture and protect Vermont's environment.
This position will be primarily responsible for receiving samples (including water, air, dairy products, feed, fertilizer, pet food and plant material) from our clients into the laboratory for analysis, following a specific set of processes to appropriately document and log samples into our database. This position will have other administrative duties at the lab, particularly when the sample receiving load is lower (winter). In many ways, this position is the face of VAEL and will work directly with diverse clients, so customer service skills are highly valued. Please note there is no remote work option for this position.
Primary Responsibilities of this Position:
- Accept over 20,000 samples annually, providing oversight for the lab's sample receiving section. This is done by careful adherence to our sample receiving standard operating procedure (SOP), which spells out how each type of sample must be accepted under very specific conditions with proper documentation, and are then labelled and logged correctly into our database.
- Provide a point of contact for a host of customer service interactions, including timely response to client inquires via phone, email and in-person. Interface with clients on sample bottle orders, sample submission plans, field sheets, and package deliveries.
- Work within our Laboratory Information Management System (LIMS) to update test information, update and add client information, log samples, set up client permissions, train clients, generate reports, and troubleshoot.
- Support the VAEL director and supervisors on a clerical (non-scientific) quality control level by providing assistance formatting and updating documents on an ongoing basis. Documents include standard operating procedures (SOPS), sample submission plans, reports, and similar. The goal is to have readable, consistent, accurate, and streamlined documentation.
- Provide limited purchasing support services for the laboratory. Take the lead with inventory management specific to sample receiving, including sample submission containers, labels, and affiliated reagents. Maintain records of purchases, service contracts, and budgets.
Preferred Qualifications:
- Experience working in a public-facing customer-service position.
- Some working knowledge or interest in chemistry is desirable, however necessary training will be provided.
- Experience with Microsoft Office suite, including Outlook and Excel; information management systems or similar databases, and; SharePoint cloud-based file storage.
- Experience with review and editing documents for readability.
- Experience ordering supplies and managing inventory.

Minimum Qualifications
High School diploma or equivalent AND three (3) years or more of experience providing administrative-level support to a business or organization.
OR
One year of full-time college level study in accounting, business or public administration, office administration or a related field AND two (2) years or more of experience providing administrative-level support to a business or organization.
OR
Two years of full-time college level study OR an associate's degree or higher in accounting, business or public administration, office administration or a related field AND one (1) year or more of experience providing administrative-level support to a business or organization.
OR
Three years or more of full-time college level study OR a bachelor's degree in accounting, business or public administration, office administration or a related field.
OR
One (1) year or more of experience as an Administrative Services Coordinator I with the State of Vermont.
NOTE: Only administrative work experience is qualifying. Administrative support includes those functions which keep the organization running or provide the resources for others to provide the programmatic work (e.g., accounting, budget management, grant administration, finance, human resources, payroll, purchasing, or space management).
Special Requirements
For some positions experience working with the VISION system (VISION is the State of Vermont PeopleSoft financial management system) may be required.
