Job Summary

The Electrical Engineering Administrative Support Assistant (ASA) works closely with students, faculty, the department chair, and other department staff to support the departments academic mission and is responsible for an interesting and engaging range of duties. The ASA is primarily responsible for inputting class scheduling information working with the chair and faculty scheduler as well as planning and hosting events for everyone from new students and parents to industry partners. The ASA also works with students, including student clubs. This 10/12 position enjoys two months off each year while remaining in pay status.

Department Summary

Electrical Engineering is a major academic unit within the College of Engineering at Cal Poly with dynamic undergraduate and graduate programs. The mission of the Electrical Engineering Department is to educate students toward excellence in the discipline of electrical engineering and to teach them to apply their knowledge in solving practical problems in a socially responsible way. While seeking to prepare students for careers of service, leadership, and distinction in engineering using a participatory, learn-by-doing, and hands-on laboratory, project, and design-centered approach, they seek to prepare students to participate in lifelong learning in the presence of rapid technological change. Electrical Engineering welcomes diversity in the student, faculty, and staff populations with faculty that are dedicated to quality teaching and engaged in scholarly activity.

Key Qualifications

Act as first point of contact for the department office including reception and phone. Independently handle and appropriately direct requests and matters received from students, faculty, and staff.
Provide information to students regarding department and university policies and procedures, forms, course and faculty information, as well as other general concerns.
Process procurement actions for department utilizing state and Cal Poly Corporation (CPC) procurement cards (P-Card). Order equipment and supplies for classrooms, labs, department office, and events as needed. Reconcile and process required documentation in accordance with campus procurement policies and procedures. Advise department on campus procurement policy. Process reimbursement forms as needed.
Input and track status of purchase requisitions in accordance with university and college guidelines.
Coordinate office equipment maintenance and assist with equipment operation. Order office supplies and maintain inventory of common items.
Education and Experience

High School diploma or equivalent. Three years general office support experience. Training in a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience.
Salary and Benefits

Anticipated Hiring Range: $33,384 - $40,128 annually based on a 10/12 pay plan

Classification Range: $33,384 - $49,128 annually based on a 10/12 pay plan

This position is paid under the 10/12 pay plan, where the salary for 10 months is distributed over 12 months. The salary will be received every month. The incumbent will have two months off every year (with pay, benefits, and vacation/sick leave accrual continuing through months off).
