Associate, Customer Intelligence & Operations (Registration Clerk) Job at Oriental Bank in San Juan
The Associate, Customer Intelligence & Operations (Registration Clerk) is responsible for the registration of automobiles in DTOP (Motor Vehicle Transportation Department). The Associate is also custody of Oriental’s vault auto titles, as per the required federal record keeping regulations of the products, investors and policies. This position works on-site and is based in Bayamón, PR.
MAJOR DUTIES & RESPONSIBILITIES:
- Receive, validate, prepare and process forms and invoices for the registration of vehicles in DTOP (Motor Vehicle Transportation Department).
- File pre-line or preliminary notices of vehicles in Oriental's vault.
- Follow up as per aging of cases to Dealers, Business Units and Floorplan for pending documents required to submit cases to DTOP.
- Process, control and reconcile of any official stamps & presentation lists required by DTOP.
- Receive, validate and update the system for leasing auto licenses upon renewal.
- Prepare and send notifications to customers for the license renewal process.
- Generate and share digital copies of licenses received for easy access to Branches and/or contact centers.
- Establish contact with customers for cases with any pending unresolved issues with DTOP registration.
- Receives requests & process transfers of accounts and licenses of leased and conventional vehicles.
- Support & resolve any registration related claims via Service Ticketing System.
- Carry out digitalization, maintenance and control for all documents filed in vault.
- May support with receiving correspondence & mailing & providing support to Dealers, Customers and Legal representative as per required.
- Other duties may be assigned.
EDUCATION AND EXPERIENCE:
- Associate or bachelor’s degree in business administration or related field required.
- Two (2) years of experience working in an administrative role within the automotive or banking industry highly desirable but not required.
- Minimum education and experience required can be substituted with the equivalent combination of education, training and experience that provides the required knowledge skills and abilities.
- Excellent customer service and problem-solving skills required. English proficiency highly preferred but not required.
- Able to communicate effectively and clearly with both internal & external stakeholders.
- Computer skills in the use of MS Office as well as at least intermediate Excel proficiency required.
- Availability to work overtime & occasional Saturdays according to business needs is required.
