Your role in a nutshell
The Benefits Specialist is responsible for assisting with the administration of all benefits and, including medical, dental, vision, life insurance, short- and long-term disability, Leaves of absence programs, retirement programs (401(k) plan and RRSP) for both USA and Canada. The incumbent will demonstrate and uphold the values and vision of The Body Shop. Ensure the Total Reward programs and initiatives act as attraction and retention pillars and strive to continually enhance the benefits offerings. This is an onsite, hybrid role located in Wake Forest, NC.

- Responsible for the day-to-day administrative support of all North American group health and welfare plans including medical, dental, short-term disability, long-term disability, life insurance, workers compensation, flexible spending accounts, qualified commuter benefit, and retirement plans.
- Manage compliance deadlines and year-end deadlines including annual filings and notification requirements such as Form 5500, Non-Discrimination Testing, San Francisco Ordinance, Equal Employment Opportunity-1 Report, Third Party Sick Pay, confirm Minimum Wage Rate changes, and Medicare Part D Notification
- Administer Leave of Absence intake and coordination with carriers (NY Life & ARCH) to ensure timely processing of claims; Responsible for tracking time off due to all Leave of Absence including but not limited to: Personal leave, Workers Compensation, FMLA, Parental Leave, and Disability; Maintenance of related files and documents.
- Be a passionate ambassador for The Body Shop’s Wellbeing initiatives. Develops and deploys Benefits and Wellness communication and education plans to support onboarding, open enrollment windows, and on-going awareness of total rewards programs.
- Manage “Open Enrollment” period including but not limited to collaborating with broker/consultant on carrier renewals, sandbox testing, updating forms, and booklets, and creating collateral for employee education and engagement.
- File workers compensation claim in conjunction with HR for all incident reports (even if they did not seek medical treatment).
- Audit data monthly between source system (TBSC) and other external applications/systems. (PlanSource, ADP, Fidelity, Sunlife & Manulife) to ensure data integrity.
- Responsible for calculating HSA funding for eligible employees during each benefit year and ensuring that seed money is distributed properly. Once a year for most employees and every 6-months for retail employees.
- Coordinate employee events, monthly Benefits Newsletter and the distribution of Motivate Me rewards and Service Anniversary Awards (Guusto).
- Administer and manage ACA Safe Harbor Compliance Testing, Submission & corrections to IRS.
- Assist with 5500/Non-Discrimination Testing.
- Manage PO administration of all invoices received and submit to A/P for processing.
- Prepare and maintain various ad-hoc employee reports including monthly report for employee anniversaries.
- Support US and Canadian Payroll Administrators which may include premium payments, 401K /RRSP deductions, taxable benefits, and Paid Time Off tracking.
- Work in partnership with various internal (HRBP, HR Operations and HRIS teams) and external stakeholders (Mercer, Fidelity, Manulife, CIGNA, ARCH etc.)
- Review and approve 401(k) loans, and approve qualifying events per IRS guidelines.
- Administer the fitness, pet, and tuition reimbursement program.
- Responsible for daily, monthly, and quarterly reporting of data to and from benefit providers and reconcile any error reports in a timely manner.
- Manage and respond to all benefits related emailed inquiries in the NA mailbox as per service level agreements (SLA).

- Bachelor’s degree preferred.
- 3- 5 Years of Benefits management experience.
- 3 Years of experience administering leaves of absence across the US and Canada
- Advanced knowledge of Excel including v-lookup and pivot tables
- Strong computer, analytical, oral, and written communication skills required.
- Ability to prioritize multiple tasks/projects in a time sensitive & confidential environment.
- Proven experience in providing excellent customer service
