Billing and Front Office Manager

Background & Purpose of the Job

Northeastern Reproductive Medicine is a growing, thriving, fertility practice in Colchester, VT. As part of Northeastern Reproductive Medicine, this role will support NRM and its patients. The purpose of this role is leading, managing, and overseeing all aspects (hiring, performance, etc..) of the administrative and billing teams. The ideal candidate for this position has a contagiously positive attitude, problem solving mindset, and excellent communication skills. This role reports to the Chief Operating Officer.

Job responsibilities:

  • Lead all aspects of the administrative and billing teams, including third party billing team
  • Hiring, Performance, Goal Review, etc
  • Ensure high patient satisfaction and exemplary service
  • Lead the process of collection and insurance card verification between billing and front desk
  • Ownership of all processes and procedures, continuously improving and refining, and/or developing new ones to provide the best experience to patients while meeting NRM’s needs.
  • Managing and overseeing all aspects of Revenue Cycle Management
  • Eligibility
  • Insurance and Self-pay claims
  • Invoicing
  • Posting payments
  • Pre-collections
  • Pricing
  • Reviewing claims to ensure that they are accurate and complete, and approving them for payment in a timely manner.
  • Communicating with patients, physicians, insurance companies, and third party administrators on billing issues.
  • Complete ownership of AR, overseeing process to ensure claims are paid in a timely manner
  • Preparing reports on data related to claims processing, including claims denial rates and turnaround times for different types of claims for leadership team.
  • Understand why denials are happening and implement process improvements to reduce as much as possible.
  • Ensuring that all documentation is accurate and up to date, including patient records, insurance claims, and invoices.
  • Communicating with patients about their account status and explaining any discrepancies or denials in their bills.
  • Address patient concerns and first line of action for patient complaints
  • Work cross functionally with other departments to ensure that billing and administrative operations run smoothly.
  • Complete ad-hoc projects as necessary for leadership team

What You Need to Succeed

  • High School diploma, college degree preferred but not required
  • Experience with patient care or customer service
  • Proven leadership; prior experience leading a team
  • Organized and ability to multitask to complete a wide variety of tasks
  • Experience creating and implementing process improvement solutions
  • Possesses excellent verbal and written communication skills
  • Enjoys working in a collaborative team environment
  • Basic computer, telephone, copier, scanner, and fax machine skills a must
  • Experience with EMRs a plus
